Administrative Assistant IV, Global Theatrical Marketing
Administrative Assistant IV to support the Co-Head of Global Theatrical Marketing and EVP of Global Marketing at Sony Pictures. This position provides senior-level administrative support within the marketing department and is assigned to two executives. This position is responsible for efficiently managing a heavy workload in a fast-paced environment, encompassing tasks such as making travel arrangements, event planning, expense tracking, meeting coordination, guest reception, call screening, and other tasks for the supported executives.
Responsibilities
• Provide comprehensive administrative support, meticulously managing calendars for meetings, calls, events, and trips to ensure optimal organization
• Demonstrate effective telephone management skills by facilitating heavy roll calls, setting up conference calls, and recording detailed messages with precision
• Efficiently manage document flow in both electronic and hard copy formats, demonstrating a keen eye for organization and accuracy
• Maintain a centralized database encompassing contacts, calendars, memos, scripts, screener links, account info, and other resources, contributing to a streamlined workflow
• Manage marketing databases, departmental resources, and contact sheets for the SPE Marketing department, ensuring data accuracy and accessibility
• Schedule large departmental meetings with filmmakers, talent, and internal executives, showcasing strong organizational and communication skills
• Coordinate screenings, screener links and script distribution for the department
• Act as a liaison with other agencies and studio counterparts, ensuring seamless coordination of meetings and documents
• Manage all welcoming aspects for external guests visiting the Sony lot, including drive-on passes, entry instructions, and escorting when necessary
• Organize expenses by processing expense reports and approving department reports on a monthly basis
• General use of Microsoft Office, Outlook, Word, Excel, and PowerPoint required
• Perform miscellaneous duties as required, demonstrating adaptability and a proactive approach to supporting the team
• Exercise a high level of discretion and confidentiality, handling sensitive information with utmost professionalism and integrity
Qualifications
• Former studio/internship experience or experience supporting executive/team on a desk is required
• 2+ years experience as an administrative assistant
• Interest in entertainment marketing is highly preferred
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Exceptional attention to detail
• Strong multitasking and prioritization abilities with a proven capability to manage evolving needs and deadlines
• Dependability, discretion, and confidentiality
• Self-motivated with a collaborative mindset
• Interpersonal charm and engaging demeanor
• Excellent written and verbal communication skills
The anticipated base salary for this position is $61,300 to $80,500. This role may also qualify for annual incentive and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
