Administrative Assistant II , Global Marketing Partnerships
Summary:
The Global Partnerships department is looking for someone to provide full range of administrative support for SVP including handling phones, calendar, filing, drafting correspondence, meeting coordination, travel arrangements, handling correspondence.
Job Description:
• Handle all administrative duties for two SVPs
• Managing calendar, answering phones, monthly expense reports, organizing conference calls, domestic and international travel, drive-ons
• Managing access for internal creative systems
• Work with Legal on drafting NDAs for partners
• Update data bases and lists
• Work with our vendors to curate prize packages
• Assist with planning Annual International Summit
• Work with Exhibitor Relations to organize and book corporate screenings for our partners
• Scheduling Sony Lot Tours for guests
• Create Purchase Orders for incoming invoices as well as fulfill any new Vendor Requests
• Work with the Story Department to get script access for partners
• Create turnover documents for incoming Domestic deals
• Help onboard interns and consultants
• Handle the meeting schedules for conferences/trade shows and assist in preparation
• Miscellaneous departmental duties as required
• Take notes as required
Job Requirements:
• 3 - 5 years experience as an administrative assistant
• Strong computer skills (Microsoft Word, PowerPoint, Keynote, Outlook, Adobe, Excel)
• Exceptional organizational and interpersonal skills
• Must be detail-oriented
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be able to meet deadlines
• Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Common sense, dependability, discretion and attention to detail are required
• Must be a self-starter with a team-player attitude
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
