Administrative Assistant, Event Planning
The Event Planning team is responsible for planning and executing events for all lines of business within Sony Pictures Television. As a worldwide team, our assignments can be sporadic, so malleability and flexibility are essential in order to handle any and all events that arise.
Day-to-day responsibilities include but are not limited to:
ADMINISTRATIVE
• Update departmental documents (e.g. SPT master calendar, SPT event calendar, RSVP lines, Office Information, venue/vendor lists, etc.)
• Manage all reconciliation for the Event Planning team's Corporate Procurement Card
• Arrange site surveys and meetings with vendors as necessary
• Receive and process SPT gift requests
• Process invoices and maintain within event budgets as necessary
• Oversee Event Planning inventory and order new materials as necessary
• Provide overall administrative support for the Event Planning team and for Vice President of Event Planning (e.g. answer phone, complete expense reports, etc.)
EVENTS
• Support larger events and handle tasks as assigned, including but not limited to the following:
• Research vendors (e.g. caterers & venues, florists, A/V companies, entertainment, transportation, parking, etc.)
• Create & maintain event contact sheets
• Maintain lists and check RSVPs
• Create itineraries and informational materials as needed for out-of-town events
• Coordinate décor elements (e.g. flowers, graphics, branded elements, props, lighting, A/V, etc.)
• Work with the studio operations team to manage on-lot union labor, or with venue-related union labor
