Administrative Assistant II, Creative Advertising - Motion Picture Group
The administrative assistant will provide full range of administrative support for SVP, Creative Advertising, and VP, Creative Advertising, including calendar, meeting coordination, handling phones, filing, billing, expense reports and travel arrangements.
Job Description:
• Scheduling and preparing for meetings with both internal teams and external vendors
• Word processing (composing and generating letters, memos and fax cover sheets)
• Setting up video conferences (e.g. WebEx) and troubleshooting issues attendees may have (may require coming in early and/or staying late.)
• Scheduling and preparing for meetings and handling calendar
• Process invoices and new vendor forms. Simultaneously updating the budget and spent/committed.
• Handling phone calls and rolling calls
• Updating databases and lists
• Creating presentations / decks
• Processing expense reports
• Handling script distribution and distribution of other secure materials, as needed
• Managing document flow, including creating and maintaining files (electronic and hard copy).
• Coordinating courier pickups and deliveries and processing Fedex airbills (Int'l)
• Other general administrative duties (processing mail, copying, ordering office supplies, updating executive binders, etc.)
• Miscellaneous duties as required (team support when needed)
Job Requirements:
• 3-5 years experience as an administrative assistant
• Strong computer skills (Microsoft Word, Excel, Outlook and Powerpoint)
• Exceptional organizational and interpersonal skills
• Must be detail-oriented
• Must be able to prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Strong interpersonal skills required; possession of a professional and courteous demeanor.
• Common sense, dependability, discretion and attention to detail are required
• Must be a self-starter with a team-player attitude
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
