Administrative Assistant I, Business Affairs Administration - Motion Picture Group
The Vice President/Head of Business Affairs Administration oversees contract administration for Columbia Pictures and related motion picture production divisions of Sony Pictures Entertainment (SPE). The department currently includes a team of 5 professionals, including executives, managers, coordinators and staff. The team supports SPE's Business Affairs and Creative Executives, in a fast-paced, detail-oriented environment, as part of SPE's core motion picture production and distribution business.
The successful candidate will have the education, skills, and temperament to provide a full range of administrative support to the VP/Head of Business Affairs Administration, and to assist the team in fulfilling its core mission. This position provides an excellent platform, at a major motion picture company, for those interested in exploring a career in entertainment business affairs.
Responsibilities:
• Review of deal memos and data entry for motion picture contract administration (utilizing SPE's data & rights tracking system or DARTS);
• Calendaring, tracking and processing payments;
• Word processing;
• Telephone;
• Maintaining various databases and lists;
• Scheduling and preparing for meetings and handling calendar;
• Processing expense reports;
• Managing document flow, including creating and maintaining files (electronic and hard copy);
• Other general administrative duties (processing mail, copying, etc.); and
• Miscellaneous duties as required.
Requirements:
• 4-year college degree with strong academic record;
• Preferably 1-2 years' experience as administrative assistant or contract administrator
• Strong computer skills (including Microsoft Word and Excel);
• Exceptional organizational and interpersonal skills;
• Detail-oriented;
• Ability to multi-task and prioritize to ensure that all assignments are completed in accurate and timely manner;
• Must be punctual and able to meet deadlines;
• Ability to work well in a flexible, changing environment;
Qualifications:
• Common sense, dependability, discretion and attention to detail are required;
• Must be a self-starter with a team-player attitude; and
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
