Full Time Job
The venture is being led by podcast veterans, Adam Davidson and Laura Mayer and will produce a suite of original, thoughtful, and buoyant podcasts across genres. The Office Manager is a foundational member of the podcasting venture. This role is responsible for providing support to the editorial process in New York. This role will report to the COO.
Responsibilities
• Handle all approvals for COO and CEO such as invoices, travels, T&E expenses and exceptions
• Schedule meetings, manage calendar, emails, phone support and other correspondence for COO and CEO as well as manage any office communications
• Create and improve office processes including but not limited to, onboarding, office procedures, office communications, etc.
• Assist Sony Music HR in executing onboarding and offboarding processes and liaising with Sony Music on any shared business services related to office activities and procedures
• Manage the process with IS&T to purchase new equipment or for equipment repairs as well as manage all new hire desks/monitor set ups
• Manage the process with Telecomm to purchase new wireless devices, plan changes and teleconference accounts
• Work with facilities to coordinate office moves, cleaning, lighting, phone lines, furniture or other issues as needed.
• Create and submit invoices for podcast venture and expense reports for executives
• Order office supplies for office and maintain supplies inventory
• Be the point of contact to reserve space for guests and visitors as needed
• Handle conference room booking as needed
• Coordinate special events and travel for team
• Organize and execute office events and engagement activities
• Manage distribution lists for organization and update as needed
Qualifications
• Bachelor’s Degree or equivalent in related experience
• At least 5 years’ experience. Podcast experience is a plus
• Candidates who are interested in creating editorial processes that are financially and creatively sustainable
• Strong experience working at an executive assistant level or office manager
• Strong computer skills in Work, Excel, PowerPoint
• Must have excellent written and verbal communication skills and ability to interact well within different levels of the organization, including senior executives.
• Must be a team player
• Excellent organizational skills and attention to detail
• Must love, and listen to, podcasts!
• Interested in the business of podcasting -- particularly how podcasts can succeed both editorially and financially
• A successful candidate will have an interest in office operations as a whole and be interested in growing their role along with the company
