Work Arrangement: Five (5) days/week onsite, 8AM–4PM and/or 10AM-6PM
Job Description
The Coordinator, Office Experience supports the day-to-day operation of the workplace by delivering office services and maintaining an organized, professional, and safe environment. Responsibilities include reception, mail and courier coordination, supplies management, access control, kitchen upkeep, general office cleanliness, and performing minor office maintenance such as assembling or moving furniture and troubleshooting basic facility issues.
The Role
The Coordinator, Office Experience will:
• Greet and assist employees, visitors, couriers, and vendors professionally.
• Manage visitor check-ins, temporary passes, and security protocols.
• Answer and route phone calls, emails, and general inquiries.
• Maintain clean and organized reception, mailroom, and storage areas.
• Sort and distribute mail and packages.
• Prepare and track outgoing courier shipments.
• Restock office and kitchen supplies; track inventory levels and place supply orders as needed.
• Issue and track badges, fobs, and parking assignments.
• Lead daily walkthroughs for cleanliness, maintenance and safety needs.
• Run and empty the dishwasher; maintain kitchen tidiness.
• Support meeting room setups and office moves.
• Maintain first-aid supplies, support safety procedures, and conduct regular Health and Safety inspections.
• Ensure efficient storage practices and accurate inventory tracking.
• Assist with seating updates and workspace planning.
• Create, maintain, and update Office Experience documentations, including SOPs, vendor contact lists, and reference guides.
Qualifications:
• 1–2 years of office administration, reception, or facilities experience.
• Comfortable performing basic office maintenance and hands-on tasks (minor repairs and assembling and adjusting furniture).
• Ability to safely lift and move items weighing up to 50lbs.
• Proficiency with Microsoft 365 applications (e.g., Outlook, Excel, Word, Teams, and PowerPoint).
• Strong communication and interpersonal skills.
• Highly organized with strong attention to detail.
• Ability to multitask in a fast-paced environment.
