This is a Full Time Job
As a Licensing & Soundtracks Administrative Assistant, you will support a four person team in all aspects of pitching and clearing music for use in film, television, advertisements and more. Your responsibilities will include cataloging music and distributing it to clients as needed, entering quote requests into our proprietary systems, handling client ticket requests, as well as overseeing our team’s expenses, schedules and travel arrangements. This role is for a detail-oriented, highly organized individual with a keen interest in music, sports, video games, advertising, film, and television. Your responsibilities will change from day to day in keeping with a very busy department of go-getters!
What you'll do:
• Provide administrative support for the department.
• Organize ticket allocations, manage guest lists, distribute tickets to clients.
• Maintain contact database for dept.
• Track and follow up on quotes and pending requests
• Collect artist assets (bios, photos, one sheets, press releases, lyrics, label copy).
• Send requested music to clients (instrumentals, WAV. files, various versions of songs).
• Assist with project research and development.
• Handle all department needs including ordering office supplies, preparing expenses for approval, arranging meetings, and coordinating schedules.
• Liaise across all business units and handle various administrative tasks as needed
• Assist with setup of showcases and events
Who you are:
• A college graduate with at least one year assistant/administrative experience or an internship in a music licensing department.
• Knowledgeable about popular culture with interest in music licensing.
• Familiar and comfortable with Microsoft Office (Power Point, Excel, Outlook, etc.) and audio file management. Bonus points if you are also familiar with DISCO.
• A music lover and user of Spotify and Apple Music.
• Skilled in communications both verbal and written.
• Able to multitask well in a fast-paced environment.
• A creative thinker with strong problem-solving skills and the ability to work and think on your feet.
• A person with exceptional organizational, interpersonal, communication, and time management skills as well as the ability to prioritize, multitask, and focus while working under stressful and demanding situations.
• A professional and positive worker who can maintain a great attitude while working with multiple departments and outside contacts.
• Organically inclined to use of discretion and maintain high levels of confidentiality.
• A self-starting and self-motivated achiever.
