What you'll do:
Executive Support & Time Management
• Provide proactive administrative support to the EVP, including complex calendar management across multiple global time zones (U.S., UK, Europe, Australia).
• Anticipate scheduling conflicts and shifting priorities to ensure optimal use of executive time.
• Prepare meeting materials, agendas, and briefing documents; ensure the EVP is fully prepared for internal and external engagements.
• Track follow-ups and action items across Sony Music D2C, labels, partners, and corporate teams.
• Manage incoming communications and prioritize matters requiring executive attention.
Travel & Expense Management
• Coordinate detailed domestic and international travel arrangements, including flights, accommodations, ground transportation, and itinerary preparation.
• Prepare and submit expense reports accurately and in a timely manner.
• Manage last-minute changes with discretion and efficiency.
Cross-Functional Coordination
• Partner with senior leaders across Sony Music D2C to coordinate leadership meetings, strategic sessions, and team offsites.
• Organize and support internal meetings, including preparing agendas, gathering materials, capturing notes, and tracking outcomes.
• Maintain distribution lists, shared documents, and communication workflows as needed.
• Build and maintain strong relationships with executive assistants across the global Sony Music organization.
Event & Project Support
• Assist with planning and execution of leadership meetings, workshops, and internal events.
• Support preparation of presentations and materials for budget reviews, strategic discussions, and senior leadership meetings.
• Provide coordination support on select cross-functional initiatives as needed.
Who you are:
• Minimum 5 years of executive assistant experience supporting a senior-level executive in a fast-paced organization.
• Demonstrated ability to manage complex calendars and shifting priorities in a high-volume environment.
• Highly proactive, resourceful, and capable of anticipating needs before direction is provided
• Exceptional organizational skills and strong attention to detail.
• Excellent written and verbal communication skills.
• Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience working across Mac and PC environments.
• Ability to remain calm, composed, and solutions-oriented under pressure.
• Flexible and available outside standard business hours when necessary.
• Professional, discreet, and capable of building trust across all levels of an organization.
