Full Time Job

The main role of this position is project management of the recording process by working closely with A&R, Business & Legal Affairs, Finance, Marketing and the rest of the departments to execute the recording process. This position is responsible for coordinating all aspects of the recording process from start to finish including overseeing recording budgets and deadlines.
Responsibilities
• Administer artist projects
• Schedule all studio time, engineers, equipment rentals, mixing, mastering
• Interact with A&R & artist management to ensure all recording/mixing/mastering is completed to meet product release date.
• Work with digital & release planning and production departments to ensure we have all approved masters in house and label copy has been confirmed.
• Create recording budgets and obtain approvals from executives, label attorneys and finance.
• Track all recording costs as the project progresses; informing A&R, producers, artist management & label attorneys of possible over budgets and recommending solutions (including less expensive studios, mixers and mastering engineers).
• Attain artist and furnishor approvals of producer/mixer budgets and deal terms.
• Prepare reforecast budgets/memos and circulate for approvals.
• Work with A&R and artist management on remixes (budgets, approvals, and delivery - agreements, credits, masters.
• Collect and confirm all Delivery requirements including fully executed agreements, masters, lyrics, credits, etc.
• Process contractual costs including advances & fees (artist, producer, mixers, samples etc).
• Manage/organize travel bookings with Coordinators (covering this responsibility in their absence).
• Coordinate mastering sessions and ordering reference discs for delivery and/or digital links of refs.
• Organize transfer of tapes/files and materials to/from studios, remixers, mixers, etc.
• Collect masters (files, hard drives, tapes) and route them for verification/archiving; liaise with the Sony music vault to obtain masters and send masters back to them.
• Route music to A&R & Operations
• Setup projects in recording cost system (ARTS) including requesting artist codes, project codes, royalty accounts, product lines and FLoRs.
• Issue POs to vendors and paying invoices.
• Complete and submit union contracts (AFM/AFTRA); collecting materials from producers, musicians, vocalists and interacing with the union and union payroll company.
• Attend various meetings including Production/Scheduling meeting, Business & Legal Affairs bi-weekly meeting, Monthly financial meeting with supervisor, Content Development meeting.
• Update monthly forecast and preparing accrual sheets, as well as, financial detail which breaks down each project’s recording costs, advances and notes.
• Submit music to Business Affairs for sample review and informing them of side artists; liaise with them on sample & side artist clearances.
• Prepare and send producer declarations upon confirmation of producer deal terms, side artist & musician grant forms, and remix agreements.
• Ensure receipt of producer agreements and LODs (communicating updates to royalties & copyright departments).
• Work with all departments to ensure everyone has the materials they require to do their job (Includes preparing producer/mixer royalty/advance chart for each assigned artist project released).
• Maintain positive relationships with artist/producer/mixer managers and attorneys to help with negotiating fees and royalty points for assigned projects.
• Build relationships with studios and engineers to assist with negotiating special rates; tour local and out of state recording studios (when possible) while travelling to other cities.
Qualifications
• Prior A&R Administrative experience required.
• Strong decision making & problem solving skills.
• Must possess an ability to prioritize and differentiate multiple pressing situations requiring immediate action.
• Strong computer knowledge/skills including Word, Excel.
• Knowledge of audio files (multitracks, stems, mix passes) and recording systems is a plus.
• Good communication skills, ability to understand and process information and instructions.
• Ability to follow through with projects in a timely manner.
• Organizational skills and attention to detail.
• Flexiblity and ability to multi-task, and demonstrate patience.
