Responsibilities
The Administrative Assistant, Sales is responsible for providing support to the Vice President of National Sales. The position’s responsibilities include, but are not limited to, the following:
• Perform general administrative support and day-to-day assistance to the VP, National Sales. This includes but is not limited to answering phones, calendar maintenance, preparing for meetings, inputting weekly time sheet data for department and any other required administrative functions
• Manage and coordinate National Sales department vacation and travel calendar
• Maintain Outlook group email contact lists
• Generate and distribute daily and weekly sales reports utilizing various internal systems such as SMART
• Daily maintenance of shared drive of new release projections and orders; obtain national sales goals from label partners and individual account projections from sales teams
• Track radio airplay of key new release titles and provide to field reps to support account solicitations
• Draft and email official sales policy notifications to accounts as well as to internal SME staff
• Solicit account reps for and compile new release 3-Day and First Week Sales for key new releases
• Coordinate retail mailings, such as promotional CDs, value-adds and enter-to-win items
• Maintain Account Profiles for all major active accounts and contacts
• Interact closely with National Sales and Field Staff, providing them support on an ad hoc basis
• Provide select administrative support to the Sr. Director, Sales
Qualifications
• A Bachelor’s degree is preferred, with applied computer experience.
• Basic knowledge of MS Word, PowerPoint, Excel, Outlook and Adobe Acrobat is required.
• The assistant must be able to utilize Soundscan and Mediabase as well as learn company-specific systems and applications including SMART and Databasics.
• Have knowledge of new technologies, current digital retailers, and subscription services
• Past record label experience or internship experience is preferred.
• Understanding of department functions within a record label is recommended.
• The assistant must be available for occasional extended work days and be familiar working with standard office equipment
• Must be extremely organized and have the ability to keep extremely accurate schedules, records, etc. Attention to detail is paramount. Must also be able to multi-task, prioritize tasks, and ensure deadlines are met.
