This is a Full Time Job
We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative support for Sony Music Entertainment’s Central America & Caribbean division. The ideal candidate will be self-motivated and possess strong communication skills, excellent time management abilities, and the flexibility to handle a variety of tasks in a dynamic and fast-paced environment. This role will require a high degree of confidentiality, attention to detail, and the ability to multitask effectively.
What you'll do:
• Executive Support
• Provide administrative support to the SME CAC President and the SVP, Revenue Strategy, including, but not limited to, managing executives’ calendars, scheduling meetings, filing expense reports, and arranging business travel.
• Prepare agendas, take minutes, and follow up on action items from meetings.
• Draft and edit presentations, and other documents as needed.
• Coordinate internal and external communications on behalf of the SME CAC President.
• Coordinate credentials on behalf of the SME CAC President and the rest of the CAC team for internal and external industry events.
• Greet & assist guests visiting the SME CAC President & SVP, Revenue Strategy, in SME offices.
• Operational Support
• Coordinate and manage assigned projects, ensuring deadlines are met and deliverables are tracked.
• Assist with accounts receivable and payable including PO creation, vendor set-up and invoicing.
• Manage CMC card end-to-end including PO creation, reconciliation and expense report filing.
• Manage BTA card end-to-end including PO creation, reconciliation and expense report filing.
• Coordinate concert and event ticket purchases for SME CAC employees, clients and artists.
• Assist with the creation and communication of weekly, monthly and quarterly business reports.
• Coordinate SME CAC’s role and participation in local PP&B societies in the CAC region and serve as the day-to-day administrative contact for all matters in connection with SME’s collection of PP&B revenues.
• Assist with office organization and manage administrative systems.
• Event Coordination
• Coordinate and manage logistics for SME CAC meetings, conferences, events, and special projects.
• Coordinate event production and follow-up activities, including budgets, vendor agreements and payments, travel and accommodations for key attendees.
• Manage all SME CAC team logistics and communication for company-wide and industry events.
• Coordinate SME CAC guest lists for company-wide and industry events.
• General Administrative Duties
• Process invoices and track expenses as needed.
• Assist with administrative process relating to corporate filings and other company matters working with both internal and external stakeholders to obtain signatures, apostilles, notarizations, and other
• Provide day-to-day administrative support as needed including answering phone calls, responding to emails, and performing clerical duties.
• Organize and maintain documents, files, and office supplies.
Who you are:
• Bachelor’s degree or equivalent experience.
• 3-5 years of experience in an executive assistant or administrative role, preferably in music or entertainment.
• Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and other office tools.
• Fully bilingual (English and Spanish) including both written and oral language proficiency.
• Excellent verbal and written communication skills.
• Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
• High attention to detail and the ability to handle sensitive information with discretion and professionalism.
• Ability to work independently as well as collaboratively within a team environment.
• Positive attitude and a strong work ethic.
• Ability to travel for business on occasion and attend events/concerts/meetings during and after business hours.
• Ability to work in-person from the SME offices in Miami, FL.
Preferred Qualifications
• Previous experience working in a music industry or entertainment-related field.
• Knowledge of project management software and tools.
