Full Time Job
The Administrative Assistant, A&R Administration will support two executives as well as other members of the A&R Administration team and requires frequent interaction with all staff levels throughout our organization. The Assistant will need to be a well-organized, motivated, and pro-active individual. The Assistant will help to ensure the efficient day-to-day operation of the A&R Administration department and support the SVP of Artist Initiatives by successfully accomplishing the following responsibilities:
What you'll do:
• Schedule/coordinate meetings, including securing conference rooms and ensuring the tech functions properly, when necessary
• Prepare, submit and track expense reports/time sheets
• Create and manage ad-hoc research projects
• Initiate Independent Contractor verification request forms
• Assist A&R Admin team with new vendor set up requests
• Route invoices for internal approval and send to A/P for processing
• Perform various support functions for team members in A&R Administration and Contract Administration (assist in processing invoices, etc.)
• Manage our Talent Roster in CARMA system
• Prepare communications such as memos, emails, reports and other correspondence
• Prepare PowerPoint slides for presentations
• Collaborate with team members across the organization
• Create and maintain filing systems, both electronic and physical
• Prepare outgoing mail via return receipt / certified mailing / FedEx
• Role reports to two individuals (SVP, Business & Legal Affairs Operations and the SVP, Artist Initiatives & Business Administration)
Who you are:
• An Administrative Assistant (one year of experience preferred) & passion for the music industry
• People-oriented -- enjoys interacting with people and working on solo as well as group projects
• Adaptable/flexible -- enjoys doing work that requires frequent shifts in direction as the role reports to two people with different responsibilities
• Detail-oriented -- wants to ensure details are accurate
• Achievement-oriented and a self-starter -- enjoys taking on challenges and taking initiative in appropriate situations
• Excellent written and verbal communication skills
• Excels with Microsoft Office Suite applications (including PowerPoint)
• Strong facility with learning computer systems
• Familiarity/Level of comfort with artist contracts
• Attention to detail, team mentality and a positive attitude

The anticipated annual base salary does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
