Title: Executive Assistant

Position reports to: Executive Vice President, Sony Pictures Imageworks
Summary:
Sony Pictures Entertainment (SPE) is a subsidiary of Sony Entertainment Inc., a subsidiary of Tokyo-based Sony Corporation. (SPE) global operations encompass motion picture production, acquisition and distribution; television production, acquisition and distribution; television networks; digital content creation and distribution; operation of studio facilities; and development of new entertainment products, services and
technologies.
The Executive Assistant will provide a full range of administrative support for several executives within Sony Pictures Imageworks organization.
Job Description:
• Direct and gatekeep phone calls
• Extensive meeting coordination including event planning. Schedule, prepare and take notes for meetings across multiple calendars
• Organize travel arrangements for a variety of executive staff
• Work alongside and coordinate with several departments within the organization
• Draft, edit, distribute and follow-up on documents and correspondence
• Generate ad hoc reports
• Manage document flow, including creating and maintaining files (electronic)
• Other general administrative duties (processing mail, copying, etc.)
• Process and file expense reports, and pre-approve expenses for direct reports
• Prepare for presentations
• Enter and approve any timecards for direct reports
• Manage multiple special projects
• Additional administrative duties as required
Job Requirements:
• 3-4 years' experience as an Administrative Assistant or similar
• Exceptionally professional, organized and detail oriented; demonstrated ability to organize time, manage diverse activities and meet deadlines
• Able to work independently and work cooperatively in a team setting
• Knowledge of principles and practices of the office organization, planning, records management and general administration
• Strong computer skills (Google Suite, Microsoft Word, Excel, Outlook and PowerPoint)
• Exceptional organizational and interpersonal skills
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Common sense, dependability and attention to detail are required
• Utmost discretion for highly confidential information
• Must be a self-starter with a team-player attitude
• Excellent communication skills – written and oral (must have a professional and courteous demeanour)
