Title: Administrative Assistant
Department: Sony Pictures Imageworks
Position reports to: Senior Vice President, Sony Pictures Imageworks
Summary:
The Administrative Assistant II will provide a full range of administrative support for several executives within Sony Pictures Imageworks organization.
Job Description:
• Handling phone calls
• Meeting coordination and event planning. Scheduling and preparing for meetings and handling several calendars
• Travel arrangements for a variety of executive staff
• Work alongside and coordinating with several departments within the organization
• Drafting, editing, distributing and follow-up on documents and correspondence
• Generating adhoc reports
• Managing document flow, including creating and maintaining files (electronic)
• Other general administrative duties (processing mail, copying, etc.)
• Miscellaneous duties as required, Processing expense reports
• Minute taking and preparing of presentations
• Enter and handle any timecards for direct reports
• Ready to take on any adhoc duties
Job Requirements:
• 3-5 years' experience as an Executive Assistant
• Exceptionally professional, organized and detail oriented; demonstrated ability to organize time, manage diverse activities and meet deadlines
• Able to work independently and work cooperatively in a team setting
• Knowledge of principles and practices of the office organization, planning, records management and general administration
• Strong computer skills (Microsoft Word, Excel, Outlook and PowerPoint)
• Exceptional organizational and interpersonal skills
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Common sense, dependability, discretion and attention to detail are required
• Must be a self-starter with a team-player attitude
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
