JOB SUMMARY
The Receptionist handles heavy calls, scheduling and various administrative requests in the Smuggler Los Angeles office. The Receptionist is the first point of contact for visitors and is the face of the office. The Receptionist interacts with all facets of commercial production present at Smuggler and is expected to be ready to assist any department at any given time, especially the Operations Department. This position also may be required to perform other duties as assigned or required.
SAMPLE OF RESPONSIBILITIES
Preparation and distribution of the daily schedule and phone list
Sending and receiving mail through USPS, Fedex, UPS
Distribution of mail and packages, managing volume of direct marketing paper mail
Assist Smuggler staff with shipping needs
Running production and sales conference calls
Print, assemble, and distribute bidding materials from agency
Maintenance of files
Assist Sales and Operations teams when necessary
Complete miscellaneous administrative tasks as assigned
Perform minor IT help desk functions
REQUIRED KNOWLEDGE AND SKILLS
Two to three years of industry experience
Proficiency in iCal, Filemaker, Excel, Word, Google Drive, Google Docs
Apple software and hardware (i.e. iCal, Mail, iPhone, iMac, etc.)
Excellent verbal and written communications skills, grammar and spelling
Critical thinking, sharp memory, and ability to communicate accurately
Ability to think ahead, anticipate needs, take initiative
Clear communication skills, written and verbal
Ability to interact with filmmakers and high profile individuals
Composed, punctual, organized, calm demeanor in a high pressure, multi-task environment
Ability to be self-reliant and self-governing
PREFERRED KNOWLEDGE AND SKILLS
Interest in and awareness of the entertainment and advertising industries
Familiarity with production and post-production processes
RELEVANT EXPERIENCE
Experience in an office environment, preferably as a receptionist
Experience in the entertainment industry
COMMON ISSUES ADDRESSED IN THE POSITION
Juggling visits and calls by multiple people at the same time, dealing with unexpected requests or situations simultaneously
Acting as gatekeeper in high-stress situations
Knowing who everybody is and where they are at any given time
Tracking down packages and accountability for billing of intra-office shipments - who's shipping what for what reason
Delegating tasks to interns
