The Smosh Front Office Assistant serves as the central point of communication for the Smosh production and office facility. This role focuses on managing front desk operations, welcoming visitors, and supporting smooth day-to-day office functions. You'll be the friendly face that staff and guests interact with first, creating a positive and inclusive environment. Reporting to the Operations Manager, the Front Office Assistant ensures efficient and organized operations across the 50+ person office.
Responsibilities:
Building Operations
Monitor safety, cleanliness, and overall efficiency of building services.
Communicate updates to staff regarding building services, entry/closure, facility availability, and upcoming events.
Schedule and receive deliveries, ensuring timely coordination.
Provide basic IT support (e.g., troubleshooting printers, setting up conference room equipment, projector setups).
Alert the Operations Coordinator/Manager to repair needs.
Manage reservations for parking spaces and meeting rooms.
Order and restock office supplies, maintaining organized communal spaces.
Occasionally assist during weekend shifts for scheduled repairs.
Reception and Keyholding
Greet all visitors, manage incoming mail and packages.
Open and close the office daily, ensuring security and accessibility.
Craft Services
Ensure the kitchen and green room are stocked with snacks, beverages, and essentials.
Coordinate grocery deliveries, pickups, and catering arrangements.
Support office celebrations, including birthdays and other events.
Requirements:
Exceptional organizational skills and attention to detail.
Strong multitasking abilities with a positive, collaborative approach.
Excellent verbal and written communication skills.
Skilled at identifying potential issues and addressing them promptly.
Dependable, punctual, and resourceful.
Warm, welcoming demeanor that fosters an inclusive office culture.
Comfortable using Google Suite (Drive, Docs, Sheets, Slides, Gmail, Forms, and Calendar); tech-savvy.
Previous experience in a production office is a plus.
