Skydance Animation is looking for an experienced Executive Assistant who will be responsible for providing administrative support to the President of Animation and two other executives. This position requires strong organizational and time management skills, an aptitude to anticipate executive needs, as well as the ability to professionally interface with all internal departments and external partners. The ideal candidate has administrative experience with a passion for the animation space.
Responsibilities
• Manage multiple executive calendars including scheduling, coordinating, and arranging meetings and appointments
• Maintain a consistent awareness of executive priorities and strategically arrange/plan/rearrange days accordingly
• Screen and respond to incoming calls
• Arrange physical and/or virtual conference details, issue meeting requests and invitations, coordinate agendas and materials
• Organize detailed and extensive international travel plans and itineraries along with travel documentation and coordination
• Track and submit invoices and expense reports
• Prepare reports and presentations in PowerPoint, Excel, and MS Word as required
• Perform administrative duties such as filing, rolling calls, and preparing documents
• Compose and prepare confidential correspondence, reports, and other documents
• Create and maintain databases
• Attend meetings and note-take, timely distribution to appropriate parties following
• Handle multiple tasks simultaneously, prioritize workload efficiently, meet strict deadlines for tasks and assignments, and be assertive when necessary
• Demonstrate good judgment and the ability to deal with confidential and sensitive issues and information
• Assist with the planning and execution of company events
• Confidence to jump in and take on new tasks
• Other ad hoc duties as required
Qualifications
• At least 1-year as an assistant within entertainment; experience at an animation studio a plus; agency experience a plus
• Highly Proficient with MS software including Word, Excel, and PowerPoint; Keynote a plus
• Excellent problem-solving skills, attention to detail and follow-through
• Resourceful, proactive, reliable, and assertive when necessary
• Ability to handle multiple tasks simultaneously, prioritize workload, and meet deadlines under pressure
• Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, and internal and external senior management
• Organized and detail oriented with the ability to manage multiple high priorities, the ability to appropriately prioritize work, proactively anticipate, and manage time efficiently
• High level of integrity and discretion with confidential information
• Familiar with a variety of industry concepts, practices, and procedures a plus
• Knowledge of creative, production, post-production processes and related workflows a plus
• Desire to be a career executive assistant or grow within animation
$23 - $27 an hour
The hourly range for this non-exempt position in Los Angeles, California is $23-27 an hour. The rate offered may vary based on the candidate's location, qualifications, experience and relevant expertise, among other factors. The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.
