With locations in Los Angeles, CA and Portland, OR, ShadowMachine is a collective of artists, designers, writers, directors, and producers and serves as a platform to launch great stories.
We're looking for a multi-faceted HR Benefits/HRIS Coordinator who will oversee the administration of our health benefits, 401K, and maintenance of our HRIS and ATS system (UKG), as well as assist with on-boarding new hires and other HR projects as assigned.
The successful candidate will be self-motivated, quick-thinking, flexible, and able to juggle a variety of diverse responsibilities with having a strong emphasis on organization, outstanding customer service skills, and unwavering attention to detail at all times.
What you'll do:
Benefits Administration:
· Work closely and coordinate with our benefits broker to on and off-board employees, resolve employee issues, and answer benefit-related questions
· Manage the employee enrollment process and ensure timely completion of enrollments
· Track and manage benefit terminations and ensure gap coverage and/or COBRA. Provide guidance to terminating employees.
· Review and update Employee Deduction spreadsheet weekly and prepare monthly Employee Deduction spreadsheet report
· Review and pay vendor invoices--ensure adjustments are received from vendors as needed.
· Employee Deductions: Journal employee deductions to individual accounts in PSL and reconcile employee deductions in PSL
· COBRA: Download and review COBRA information from our COBRA TPA and book JE in PSL and reconcile COBRA bills with payments collected
· Book deposits from our payroll of health insurance accrual in PSL
· Review PDX deductions and allocations
· Analyze total health insurance cost against monies collected
401K:
· Track employee contribution updates and send contribution updates to our payroll vendor in a timely manner.
· Review weekly deductions from payroll, book the deposits and upload weekly deductions to our 401K administrator website.
· Calculate quarterly employee eligibility and inform employees of their eligibility/provide information
· Prep annual audit
· Send out required notifications to employees as necessary
HRIS/ATS (UKG):
· Keep system updated with entering weekly new hires, as well as inputting all changes and terminations changes.
· Maintain projects and documents as changes/additions required
· Run reports as needed and requested
HR/ACCT MISC:
· Onboarding: Send new hire information and instructions for onboarding, collect I9 identification from new hires for attestation, and process online I9 verifications (E-Verify and/or our payroll vendor).
· Offboarding: Send out last-day notices and provide information for unemployment.
· Triage employee questions, research answers accordingly and respond and/or forward to the appropriate person
· Assist with events and company newsletter
· Assisting with other HR and Accounting projects as needed
What you'll need:
· Minimum of 2 years of experience in an administrative support role in HR or Accounting. Experience in the entertainment industry or in production is strongly desired.
· Outstanding interpersonal and customer service skills with the ability to communicate effectively and efficiently through demonstrated strong written and verbal communication skills.
· Strong project management, time management, problem-solving, strategic, reasoning, analytical, and long-term planning skills.
· Strong attention to detail and ability to multi-task in a fast-paced, dynamic environment. Ability to triage, and work independently, but also understand when issues need to be elevated.
· Proficient in MS Word, GSuite, Excel, and Adobe Acrobat. Experience using the EASE online platform is a plus.
· Highly proficient in managing HRIS systems. Proficiency in UKG is a plus.
· Proven ability to handle confidential information
