Responsibilities
The primary responsibility for this position is Executive Assistant to the President & General Manager, with secondary duties to include acting as Office Manager. In addition, this role will support Accounting and Community Relations as outlined. The responsibilities for this position include, but are not limited to, the following:
Executive Assistant to President & General Manager
• Manage calendar – respond to inbound requests for meetings and/or appearances, schedule internal and external appointments, secure relevant information in a timely fashion, coordinate and execute timely replies
• Draft internal and external correspondence
• Manage owner and CEO single game and suite tickets
• Support game night activities as requested
• Schedule and coordinate President's travel
• Meeting support – manage scheduling, notifications, agendas and minutes for select internal meetings; support other meetings on request
• Manage contact information
• Assist with administrative functions as requested by Vice-Presidents
• Track and submit President's monthly expense reimbursements including mileage
• Miscellaneous duties as requested – errands, etc.
Office Manager
-Develop and administer reception duties (may vary in-season/off-season)
-Inbound call answering and routing, main voice mail box
-Mail and delivery intake and routing
-Receiving guests
-Aesthetics and cleanliness (first impression!)
-Manage office supplies – inventory management, ordering protocols, cost control, etc.
-Support all-staff meetings/events as needed (presentations, catering, etc.)
-Oversee all common areas to ensure adequate organization, cleanliness and usefulness including entry lobby, kitchen and conference rooms
-Maintain and manage all office support systems - conference room scheduling, presentation equipment, conference call functionality
-Maintain updated staff contact information and e-mail distribution lists
-Enforce office decorum guidelines
-Manage all print and online subscriptions
-Act as a liaison for landlord in conjunction with SVP of Finance & Operations
-Other duties as assigned and necessary
