The Los Angeles Local Executive Director of the nation’s largest performers’ union is seeking a top-notch Executive Administrative Assistant who will not only represent the Local body, but the entire brand with the opportunity to meet interesting people and get exposed to high profile initiatives.

• Multi-line departmental phone coverage and maintenance of multiple mailboxes.
• Maintain multiple calendars and coordination of meetings. Coordination of internal and external meetings (notifications, catering, logistics, details, RSVPs, etc.)
• Coordinate all aspects of the LA Local Board and LA Executive Committee meetings.
• Coordinate, facilitate and support LA Local committee meetings and maintain master records for LA Local Committee.
• Support Los Angeles Local operations and other departments as required.
• Coordinate department check requests and maintaining records for budget purposes.
• Departmental office manager duties: office services requests, supply ordering, general office functions and needs.
• Create and submit expense reports for the Los Angeles Local Executive Director.
• Assist and support Los Angeles Local President as required.
• General clerical duties: Xeroxing, filing, faxing, mail and fax sorting and distribution.
• Special assignments as required.
Qualifications

• Exceptional phone skills.
• Outstanding writing, proofreading and editing skills.
• Able to effectively communicate in English, both orally and in writing.
• Sincere interest and desire to work for a member-driven labor organization, while understanding the challenges nuances of working with multiple personalities.
• Proficient in Microsoft office applications including solid command of PowerPoint presentations and Excel spreadsheets.
• Capable of working effectively under pressure, and to organize, prioritize and coordinate multiple tasks under daily deadlines.
• Must be able to work independently and as part of a team.
• Capable of taking direction from more than one supervisor.
• Superlative interpersonal skills: Very high degree of discretion, patience and tact, and must be able to cultivate respectful, strategic, and collaborative relationships with people from diverse backgrounds; both internally and externally.
• Hold yourself and others accountable for a high level of performance and integrity.
• Have an understanding and awareness of worker rights impacting SAG-AFTRA members.
• Must be able to work in a challenging environment where constructive feedback from others is encouraged.
• Must maintain regular and acceptable attendance at such level as is determined at SAG-AFTRA’s sole discretion.
• Must be available and willing to work extended hours per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs.
• Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs.
MINIMUM QUALIFICATIONS:
Education and/or Experience:
• Administrative training and/or an equivalent combination of education and experience.
• Previous executive administrative support experience preferred.
• College degree a plus.
Certificates, licenses, and/or registrations:
• N/A
TESTING REQUIREMENTS:
• Basic skills: spelling, math, grammar and filing – passing score: 76%
• Microsoft Word and Excel tests (basic, intermediate and advanced) – passing score: 76%
• Writing Test
• Typing test 35 WPM
