RQ was founded to bring the science of relationships back into marketing. Through thoughtful identification and relationship nurturing, we build honest relationships between Influencers and Brands that fuel the entire marketing mix.
RQ is looking for outgoing, self-starters that are savvy, conscientious and entrepreneurial to work at our agency. We are currently seeking an Executive Assistant/Office Coordinator to join the team. Supporting the entire organization with the day-to day-management of the office, this role requires positivity, proactivity, organization and a can-do-anything attitude.
JOB DUTIES:
Executive Assistant Responsibilities -
Conserves executives' time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
Maintains executives' appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
Maintains client's confidence and protects operations by keeping information confidential
Assists with digital & physical filing of all executive documents, including legal and financial
Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
Some personal tasks will be required for the two Co-founders, including dry cleaning pickup, assistance with family and pets when Co-founders are travelling or when needed
Office Coordinator Responsibilities -
Monitors and maintains office & kitchen supplies on a weekly basis
Maintains general office tidiness, organization, maintenance of plants and any maintenance needs of the office in general
Manages and leads employee birthdays, anniversaries, Peer Awards nominations, etc.
Organizes food and beverages for internal and external meetings
Researches and keeps the team updated on pop culture trends
Assists with writing and creating presentation decks for the entire team
Assists at events and RQ activations
Assists with RQ social networks
Human Resource Responsibilities -
Manages onboarding process for new staff; including paperwork, new equipment purchase, welcome program, etc.
Manages and schedules agency internship program
Responsible for setting up new employee/group emails and deleting emails if employees leave the agency
Manages and updates all office and staff subscriptions
Financial Responsibilities -
Assists with weekly invoicing for clients
Manages all expense and credit card reconciliations for Senior Management Team
KEY COMPETENCIES + SKILLS:
3+ years of proven experience assisting in a busy office environment
Office & Google Suite of products - Word, Excel, PowerPoint proficient
Excellent organization and time management skills
Good written and spoken communication skills
Accuracy and attention to detail
A calm and professional manner
Excellent computer and administration skills
A flexible and adaptable approach to work
The ability to use your own initiative
Tact and discretion for dealing with confidential information
Understanding of budget management and financial planning
Good understanding of social media and PR
Has thorough knowledge of market research, trends, competitive information, literature, etc.
Passion and love for pop-culture is a must
