STUDIO / GENERAL
Must be friendly and presentable at all times, first point of contact when someone walks in the door
Greet employees and visitors with a professional and welcoming demeanor
Professionally answer phone calls and properly take/relay messages to each department/person
Develop and maintain front desk procedures, including ordering and maintaining of office supplies, merch, and refreshments while keeping all common office spaces orderly and organized
Manage and coordinate multiple schedules, both individual and project specific.
Lead office operations with ongoing projects and operational initiatives, executing the goals and objectives of the function.
Assist with onboarding and offboarding staff and interns, ensuring the setup of building access
Monitor security cameras and alarm system
Manage the planning of office events, such as staff birthdays, Friday team lunches, photoshoots, merch launches, video shoots
Organize office operations and procedures by managing all communications with those working from the office, traveling to the office and working remotely to ensure compliance
Must be at the office during office hours (10AM - 630PM), Monday to Friday
Must be able to have a flexible schedule to work earlier / later, or on weekends, when needed
Must maintain discretion and confidentiality among peers, clients and colleagues
Must be a disciplined self-starter and demonstrate integrity, dependability, responsibility, work-ethic, self-awareness, and a positive attitude
Assist with Social Media post drafting and scheduling as well as staying abreast with latest trends
ACCOUNTING
Coordinate corporate credit card expense claims and track office expenses
Liaise with contractors and vendors to enable office maintenance and repairs.
Assist accounting department with contacting production / vendors for any invoice or receipts requests
Assist accounting department with keeping a daily record of employees' hours in the office and lunch breaks that can be used to verify timecards for payroll purposes
LABEL
Reach out to influencers / artists / production colleagues for collaborations (Merch/Photoshoots/hangout, etc)
Liaise between production and music department on anything that involves the studio use
Assist music department with marketing campaigns, initiatives and special projects
May be asked to attend some meetings and keep notes / minutes accordingly
MERCH
Merch Fulfillment on a weekly / daily basis depending on volume
Inventory Management, physically counting each Merch items and reconciling with records
Merchandise loss and theft prevention
QUALIFICATIONS
Must have college education / degree
Proficiency in MS Office (Word, Excel, Powerpoint, etc), Google Suite (Docs, Sheets, Drive, etc) and Dropbox
Proficiency with social media platforms (Instagram, Twitter, Facebook, Youtube, Loomly, LinkedIn, etc)
Professional oral and written communication
Good understanding of Business Ethics and Professionalism with dealing with clients, colleagues and superiors
Experience or Familiarity with merchandise inventory and Shopify online store management
