WHAT'S COOL ABOUT THIS JOB:
The ReedPOP Talent Coordinator plays a very key role in the success of our shows. We want all of our Artist Alley talent to walk away feeling like we gave them an incredible experience and an opportunity to directly interact with their fans. You will be the person responsible for ensuring the comfort and well-being of all of our Artist Alley guests before, during and after the show. This role will allow you to work directly with talent and agents to coordinate and facilitate the pre-show and on-site needs of all of our special guest.. One day, you'll have high level meetings with our travel partners; the next, you'll be pushing crates across a loading dock; and the next, you'll be filling in detailed spreadsheets at the ReedPOP office. You will have the opportunity to travel to different locations around the country and the world to help us deliver a world class experience for all of our guests. What could be cooler than that?
BRING YOUR PASSION AND EXPERTISE:
• Maintain multiple excel spreadsheets tracking hotel reservations, flights and car service for all special guests and staff
• Work closely with our travel partners at Connections Housing to secure hotel room blocks in various cities and secure travel including flights, hotels and car service for all special guests
• Create and maintain detailed travel itineraries and onsite show schedules for all special guests
• A typical show will involve a high volume of detailed work that could include managing a block of over 200 hotel rooms, coordinating over 200 car service rides, booking up to 100 flights, and drafting over 100 welcome letters.
• Communicate regularly with talent and agents to collect important information relating to all guest travel
• Work directly with the finance team to ensure that all per diems for special guests are accounted for and that the guests are paid in a timely manner either pre-show and/or post-show
• Manage all internal systems that require updating and attention throughout the course of the show including booking of Artist Alley tables, maintaining database of artwork and headshots.
• Manage all incoming customer service questions relating to Artist Alley
• Act as a main point of contact for all talent and agents to ensure that they have an exceptional experience prior to the show, onsite at the show and post-show
• Create and cultivate a ''one team'' approach through collaboration with event management, talent, finance, and operations
• This is a contract position that is funded for the remainder of 2019 with an excellent possibility of re-funding for 2020.
THE REQUIREMENTS:
• 1-2 years of experience in travel and/or travel coordination
• Extensive knowledge of comic book history, relevant talent, conventions and Artist Alley structure
• Extremely organized with the ability to manage multiple projects simultaneously
• Ability to act in a professional and accommodating manner at all times
• You must be able to work across multiple events simultaneously and anticipate the needs of talent and staff
• Strong copy writing skills are required
• Excellent communication and interpersonal skills
• Professional level knowledge of Microsoft Excel and Word
• Must be highly collaborative with a ''We'' not ''Me'' mentality.
• Must be comfortable with ambiguity and always willing to take the initiative to create something new
• You must be resourceful and willing to find creative solutions that will help you achieve your goals

• Some domestic and possibly international travel is required. Approximately 6-8 times per year
