Executive Assistant
Job Summary:
The Executive Assistant will provide a full range of executive and administrative support to our company president in a creative and entertainment environment, including scheduling meetings, maintaining current up-to-date calendars, coordinating and booking travel arrangements, assisting with client management, overall organization, and assisting with projects as directed.
Responsibilities:
Proactively manage both personal and professional calendars.
Coordinate and manage meeting logistics including booking and preparing rooms, creating materials, organizing catering and taking notes.
Coordinate all domestic and international travel logistics including flight itineraries, hotel rates and reservations, car services, with personal travel preferences. Follow up and pre-arrival confirmations.
Serve as liaison between the executive and external/internal clients.
Provide a ''gatekeeper'' and ''gateway'' role, creating win-win situations for direct access to the executive's schedule and available time.
Prioritizes conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with important deadline requirements.
Arrange and organize internal and external events such as company dinners and corporate functions, facilitate information distribution and dissemination, answer inquiries and meeting requests.
Anticipate executive needs and be proactive with timely solutions.
Front facing to clients, partners, vendors, brands, casting, agents, executives, and more.
Brief assistance with managing talent logistics for auditions, shoots, brand partnerships, product launches, and events
Support related administrative needs.
Requirements:
Bachelor's Degree, preferred
2+ years' experience working for a high level Executive, preferred
Has a clear understanding of the players in the entertainment business, required
1+ years at a talent agency, required
Able to work with varying personalities and work styles with grace and tact
Strong written and oral communication skills
Up to date on current events, pop culture, and trends
Understand and navigate casting, breakdowns, talent submissions and profiles
Familiar and a passion for casting and the entertainment industry.
The drive to take initiative, work independently and be accountable while also working as a team player who is collaborative, positive and flexible
Proficiency in Google Workplace, Microsoft Office, Mac savvy, and preferred ability to create talent decks and one sheets
Ability to work well in a corporate environment
Strong interpersonal skills, excellent attention to detail, very organized, problem solver
