Search for Executive Assistant - Managing Director & VP A&R jobs in Los Angeles-CA
Assist Managing Director of the Company and VP of A&R in all day to day responsibilities and activities. We are looking for energetic, self-motivated individuals who want to grow with us. You must be computer savvy and highly adaptable. Excellent communication skills, multi-tasking skills and ability to thrive in a fast-paced environment are required.
General Job Description:
• Support Executives in all facets of their duties and responsibilities
• Coordinate heavy calendars, scheduling and expense reports
• Coordinate logistics and execution of conference calls and meetings
• Coordinate frequent complex U.S. and international travel
• Answer and screen a high volume of telephone calls, coordinate global time zones and dial-ins (including video conferencing) and concierge for direct visitors
• Liaising with the other offices to maintain effective working relations with all levels of personnel, clients and business associates
• Coordinate materials and agendas for meetings
• Prepare correspondence (memos, emails) as required
• Provide administrative and office support activities for Executives
• Assist with building management tasks
• Assist with the management of technical support and upkeep
• Attending any required brand training and other staff related meetings
• Maintain knowledge of pop culture and music happenings through the web, magazines and industry events, relationships, etc. as it relates to the position
• Assist in Company/brand presentations and reports
An ideal candidate should have:
• Four-year degree required
• Must have prior experience working as an executive assistant in the entertainment or music industry
• Music industry experience preferred
• Proficient in all Microsoft Office software including Outlook, Power Point, Excel and Word as well as Photoshop
• Possess a strong work ethic and strong organization skills
• Highly organized and enjoys creating and maintaining office systems
• Takes initiative on projects and is efficient with follow up
• Excellent communication skills (both written and verbal)
• Ability to problem solve and multi-task while working in a fast-paced environment
• Ability to coordinate multiple projects simultaneously with strict attention to detail while maintaining professionalism and meeting deadlines
• Handle confidential matters appropriately and with discretion
• Works well on a team
