Position is currently hybrid but will likely be IN OFFICE by end of the calendar year. We are open to candidates based in/local to Nyc or Los Angeles. The company has offices in New York City and Los Angeles.
Rebel Creative Group is seeking a coordinator to assist managers/partners/producers who represent a variety of high-profile talent clients in both our NY and LA offices.
Responsibilities include:
Managing the partners' calendars (setting meetings, handling travel & some personal tasks); handling a high-volume of incoming calls/emails; communicating professionally with clients; coordinating talent travel (booking flights, hotels, coordinating artists (publicity, hair/makeup/styling) for events/press etc.
Correspond with and collect and evaluate prospective client materials including headshots, reels, resumes, electronic press kits, scripts, reels and any supplementary materials. Onboarding new clients, collecting and updating all talent materials (headshots/resumes/reels/press etc.) and literary materials (scripts/decks/sizes). Keep track of all clients internal documents including passports, check authorizations, client agreements, and work visas / permits.
Submitting on casting sites and tracking auditions and self-tapes for clients through various casting sites including Breakdown Express, Casting Networks, Cast It Talent, etc.. Disseminating and scheduling talent auditions/self tapes. Collecting, watching and editing tapes (knowledge of iMovie is helpful), interacting with casting offices, producers, directors, and executives and other representatives (managers, agents, publicists, lawyers, etc. On the actor's end - Creating/updating pitches and Pitching to casting directors /producers (knowledge of ActivePitch is a plus). On the literary/production end - reading scripts, writing coverage, emailing materials to production companies, making calls to find contacts, set meetings etc.
Data entry tracking pitches, pins/holds, bookings, etc. (Knowledge of InEntertainment a huge plus). Using InEntertainment & Quickbooks to enter invoicing records for commissions owed and closing bookings in the system(s) once all payments have been received. (Previous knowledge of both programs a plus).
Correspond with and help manage the company's intern program.
Attend client events and showcases alongside or in lieu of manager/partner whenever they are not available.
At least 1 year of Agency or management desk experience required. Great for anyone interested in representation.
