Full Time Job
As the first point of contact for visitors of Prometheus Global Media, the Receptionist must present a pleasant, professional and welcoming demeanor. Primary responsibilities for this position will be to greet guests and answer calls on the main office lines.
Responsibilities:
• Welcome, greet, announce and escort guests to conference rooms or meeting location (e.g. offices)
• Issue key cards and parking validations
• Greet and direct callers based on their inquires to appropriate departments
• Maintain conference room schedules and resolve scheduling conflicts
• Responsible for maintaining the appearance and housekeeping of reception area and conference rooms
• Receive and sign for package deliveries
• Ensure visitors sign visitor log and issue visitor badges when appropriate
• May be requested to assist departments with office events (e.g. order food, setup, etc.)
• Maintain office documents (e.g. phone list, visitor logs, seating charts, etc.)
• Process and submit invoices for approval and payment
• Assist with invoice processing
• Plan and execute office events (e.g. holiday parties, birthday celebrations, flu clinics, etc.) with HR Director
• Conduct new hire orientations for new employees and interns
• Work with Office Services Clerk to oversee and manage Floor Warden program
• Create employee files and file documents
• Maintain photo wall with new photos of office guests
• Working in conjunction with Finance Director, HR Director and internal departments to properly setup vendors and process invoice payments.
• Will also create and maintain an archiving system (electronic) to house all vendor paperwork for AP, Finance, Procurement and HR to access readily.
• Work with HR Director on brainstorming and planning social calendar for office
• Handles monthly reconciliation of Pcard charges for Finance Director
• Help schedule interviews and exit interviews
• Help create and deliver PGM employee orientation
• Also cross train with Office Services Clerk to cover lunch/breaks and absences
Qualifications:
• Professional and friendly phone etiquette and demeanor
• Highly organized and outstanding attention to detail
• Excellent communication skills, both written and oral
• Exceptional interpersonal and listening skills
• Extremely customer focused
• Good multi-tasking skills
• Strong knowledge of Microsoft Office (Word, Excel and Outlook)
• Self-starter who is team oriented with a positive attitude
• Ability to work with all levels within and outside of organization
• Excellent follow through to keep on task until completion.
• Strong computer skills (Gmail, Outlook, Excel, Word, PowerPoint)
• Avid party planner
• HS diploma or equivalent required
