PMC: Office Administrator
We are looking for a ''people person'' who has team building skills, to work across all departments at Penske Media Corporation. The ideal candidate will have a friendly and easygoing personality while also being perceptive and disciplined. If that sounds like you, we'd love to hear from you.
Responsibilities:
• Professionally and courteously greet all visitors and direct them appropriately to ensure a welcoming experience, notify staff of their arrival in a timely manner; occasionally escort visitors to scheduled offices and ensure their needs are met; arrange for a host to escort if necessary
• Maintain a clean and tidy reception area at all times
• Administrative office support
• Order, inventory and stock office supplies
• Oversee the Visitor Management System
• Maintain a clear line of communication between our offices and building staff by managing the vendor COIs and freight elevator
• Assist Human Resources and Public Relations with short- and long-term projects
• Uphold COVID-19 office protocol
• Monitor and direct all emails and phone calls to the appropriate department
• Provides assistance and ascertains appropriate resources when caller has limited information or contact person is unavailable.
• Handle staff gifting, catering
• Assist with setting up and breaking down rooms before and after meetings
• Participate in the Building Emergency action team. Perform the roles of a floor warden (Searcher, Stairway Monitor, etc.)
• Contribute to a happy, healthy, high performance team, assist with the coordination of company-wide cultural engagement initiatives, and represent PMC's core values in everything you do
• Perform other related duties as assigned
Requirements:
• Ability to deliver exceptional customer service at all times; exercise courtesy and diplomacy with PMC personnel and representatives outside the company
• Flexibility to work occasional overtime, before or after normal work hours, is required
• Ability to manage multiple projects, work independently, prioritize workloads, and meet deadlines
• Ability to use tact and discretion and maintain the utmost confidentiality of personnel information
• Highly dependable and demonstrated consistent, effective administrative and clerical performance for the accomplishment of responsibilities and defined objectives
• Proficient in Microsoft Office Suite, Google Docs, Slack, Jira, Concur, Building Engines
• Strong communication, organization, multitasking and time management skills
• Detail oriented
• Demonstrate the ability to work with all levels of management
• Demonstrate initiative, professionalism and confidentiality
