
Creative Coordinator, Development & Production Office

We're hiring an organized, creative self-starter to help coordinate the day-to-day flow of a director-led creative immersive media studio on the Warner Bros. lot.
The right person is organized (almost to the point of obsession), polished enough to be a face of the company in front of clients, and creative enough to make real contributions. You appreciate well designed, efficient systems because they free up time to focus on better creative work. You see what needs doing before being asked.
This is an early-career role, not a senior producer or project-manager position. It's an opportunity for someone who wants to learn how a small creative studio working with big studio clients actually runs, with room to take on more as you go. If you want to be part of making things, and not just tracking them, this is a good fit.
Stuff you'll do:
• Help run the production office: scheduling, meeting setup, file and asset organization, document control, vendor and client communication
• Coordinate projects big and small: live-action shoots, media project deliveries, logistics, crew and talent coordination, on-set support, and large scale immersive attractions and events
• Support creative development work: research, references, pitch materials, creative decks, casting coordination, and design support
• Handle production paperwork: NDAs, COIs, vendor onboarding, call sheets, and the documentation that keeps a shoot running clean
• Take ownership of systems: templates, naming conventions, project archives, and finding creative ways to improve operational efficiency
• Be a polished, reliable point of contact for clients, talent, producers and vendors
• Take on higher-level project responsibility as you grow into it

• Real organizational instincts and a genuine skill for creating clean processes
• Self-starter with an ownership mentality. You find the next thing to do, and you finish what you start
• Polished, professional, calm under pressure, and well-spoken in front of clients and the talent or partners we work with
• You can fall in love with the project, whatever it is. Our work runs from immersive holiday Gilmore Girls and Halloween Horror events to live action celebrity film shoots (and everything in between), and you should be ready to get into all of it
• Creative eye and curiosity about the work; an appreciation for good design is a plus
• Strong written and verbal communication
• Discretion. It's a small team and you'll see how the work actually gets made
Tools you should know:
• Mac fluency and strong general computer literacy
• Microsoft Office (including Excel for tracking schedules, budgets, and deliverables), Zoom, and Microsoft Teams
• Helping shape client decks in PowerPoint or Keynote is a plus
• Familiarity with Frame.io, Dropbox, or similar review and file-delivery workflows is a plus
• Skill in Adobe Creative Suite is helpful but not required
• Up-to-date & advanced understanding of evolving AI tools and resources is a bonus
