Pixomondo London is hiring for a new Studio Assistant in our Paddington studio (with amazing views and workspace!). The Studio Assistant is a vital part of our team in London. You will be supporting management teams and are responsible for maintaining a fantastic working environment for our teams. You'll also play a lead role in the studio leading in the organising social events for the crew. You will be based in the studio 3 days a week on an inital 12 month contract.
Key Responsibilities
• First point of contact for London studio enquiries.
• Organise and check in guests, organising passes and ensuring NDAs are completed.
• Book meetings and meeting locations
• Organise logistics for meetings, including showreels and refreshments
• Book visitors on the SkyVisitor platform at Brunel
• Welcome new starters to the studio on their first day- studio tours and introductions. Post ‘Shout outs' on the company social channels and ensure all equipment is prepared for their arrival.
• Travel Manager for the London team - book and arrange travel, transport and accommodation and support/advice other Studio teams on accommodation/travel where staff are travelling to the UK
• Ensure the studio environment is kept tidy and organised.
• Collaborate with various departments to assess their room requirements and allocate desks as required.
• Raise Shopping carts/PO's for all purchases through the London studio.
• Advise staff on the travel and expense process and ensuring payments are approved and sent to finance in a timely manner in alignment with the policy.
• Ensure staff time tracking is logged in a timely manner and provide reports to Heads of Production and Finance in alignment with their deadlines.
• Responsible for keeping Compliance Training spreadsheets up to date weekly.
• Purchasing assets on request from Production for shows and marketing merchandise for the studio.
• Support the leadership team with administrative support/meeting organisation and minute taking where required.
• Assist Finance department with credit card reconciliation
• Update IMDB artist profiles to reflect show credits once a show delivers.
• Participate in the PXO Social Team. Proactively research and make suggestions for activities and take a lead role in organising regular social team events as well as communicate to the studio.
Requirements
• Previous experience in a PA/Assistant or administrative role.
• Familiarity with Microsoft packages
• Excellent organisation skills
• Ability to multitask and prioritise workload.
• Self starter, proactive, decisive and offer up solutions and suggestions.
• Excellent communication skills- written and spoken.
• Excellent customer service skills and the desire to help create the best possible experience for crew.
• Onsite a minimum of 3 days a week.
