Full Time Job
Provide primary and specialized administrative support to the VP, Worldwide PR and secondary support to the Worldwide PR Team. An integral part of the PR team attending group meetings, handling select press and guest visits to the studio, covering events on and off campus, in addition to daily administrative work tied to general PR activities across all lines of our business.
RESPONSIBILITIES:
• Work directly with the VP, Worldwide PR and the rest of the Worldwide PR Team to ensure productive, consistent and inspiring daily work with regular feedback from all team members.
• Daily administrative tasks associated with managing a department of 8 including, but not limited to:
• Setting/booking meetings and studio space – proactively manage all pertinent calendars with alertness to agendas, deadlines and potential conflicts
• Phone, email and mail correspondence
• Shipping
• Managing team contacts and electronic paper files
• Coding/Processing of invoices and Submitting of expense reports
• Distributing various materials
• Office supply needs
• Help execute major events both on and off campus including: Press Days, Press and VIP Visits, Domestic Movie Premieres, select awards season events, etc. (across all lines of business).
• Manage travel for various parties including booking airfare/hotels for traveling PR team members, filmmakers, artists, etc. and creating detailed itineraries. Work closely with other Pixar Assistants to 'pinch hit' when necessary to make sure all aspects of travel run smoothly.
• Arrange VIP tours of the studio and host as needed.
• Create and support a friendly and professional atmosphere within the department.
• Establish a positive rapport with other assistants, department managers, and studio leadership.
• Actively participate in the assistants' community.
• Coordinate logistics for on and off-site meetings, social events and morale/team building events.
• May be called upon to assist with special studio-related projects on occasion.
QUALIFICATIONS:
• Bachelors degree preferred. Communications focus/experience recommended, but not required.
• Administrative experience supporting a dynamic and demanding office environment required.
• Film industry experience preferred.
• Proficient in Microsoft Office, Powerpoint, Keynote, Filemaker Pro, email and calendaring programs, and a quick learner of new applications.
