This is a Full Time Job
This position provides primary and specialized administrative support to the lawyers, paralegal, and contract administrator in the Pixar Legal and Business Affairs department.
RESPONSIBILITIES:
• Maintain calendars and schedules; help prepare for meetings; schedule conference calls and book conference rooms as needed
• Arrange travel and create detailed itineraries
• Monitor incoming and outgoing correspondence and requests via telephone, e-mail and U.S. mail
• Prepare conference rooms for meetings and secure A/V equipment or other materials as needed
• Draft cover letters, faxes and other correspondence as needed or requested
• Prepare and file expense reports, prepare shipments and order office supplies
• Open, sort and distribute department interoffice and U.S. mail
• Track and process New Hire paperwork, in coordination with Recruiting
• Track Certificates of Insurance
• Assist Patent Counsel with database
• Provide additional administrative & clerical support including filing work requests, processing department invoices, coordinating department events, filing, etc.
• Attend meetings, take and distribute minutes or notes as requested
• Complete special projects as identified and requested
QUALIFICATIONS:
• Two to four years similar administrative experience, preferably in a Legal or related department
• Strong administrative, prioritization and organizational skills; excellent detail orientation
• Excellent written and verbal communication skills
• Ability to handle highly sensitive and confidential documents in a professional and discrete manner
• Ability to work as a member of a team with an ability to be flexible and juggle multiple priorities and projects with efficiency, diplomacy and skill
• Strong typing ability and proficiency with MS Word, Excel and related software including e-mail and calendaring applications

• Experience in a film, animation or entertainment related field a plus
