Executive Assistant: Pixar Software R&D (Tools) and Renderman
Job Summary:
Become a part of Pixar's technology team! The Executive Assistant provides primary administrative support to the VPs of our Tools and Renderman departments. This role serves as the primary point of contact for these offices of the VP with an emphasis on complex daily scheduling and project support. This position is an integral member of Pixar's executive support team and plays a key role in helping nurture a strong and vibrant studio culture.
Responsibilities:
• Proactively handle VPs' calendars with proficiency and accuracy, with attentive detail to fluctuating and conflicting schedules
• Exercise judgment and prioritize schedules and tasks accordingly
• Effectively communicate all meeting and schedule changes and updates all parties immediately
• Foster a dedicated and committed partnership with primary manager
• Establish a positive rapport with coordinators, other assistants, department managers and studio leadership
• Serve as backup for department coordinator functions, such as meeting scheduling, agenda management for leadership meetings, and notes as the need arises
• Regularly handle sensitive information in a discreet and confidential manner
• Build and support a friendly and professional atmosphere across and within departments
• Assist with preparing materials for presentations in Keynote, PowerPoint, etc.
• Cultivate department and leadership group morale via spearheading team-building activities, in conjunction with other recognition efforts
• Reconcile American Express account, expense reports, invoices and receipts as they pertain the department
• Manage travel arrangements and partner with internal travel entities
• Assist with planning and carrying out Pixar's presence at technology events such as SIGGRAPH and Disgraph
• Successfully organize and manage the day-to-day tasks and operations, which may include but are not limited to:
• Phone, email, and mail correspondence
• Shipping
• Office supply needs, including department snacks
• Working meals and catering needs
Qualifications:
• Bachelor's degree preferred
• Three to five years administrative experience supporting in-demand individuals in a dynamic office environment preferred
• Experience and interest in a film and/or technology-related field preferred
• Strong organizational skills and attention to detail
• Superior interpersonal skills in both verbal and written communications
• Ability to prioritize multiple requests and projects in fast-paced, deadline driven environment
• Adaptable to constantly evolving circumstances, situations and people
• Willing to take initiative and resolve issues creatively and resourcefully
• Proven ability to anticipate needs and proactively address issues or concerns
• Familiarity with software such as GSuite, Keynote, email and calendaring programs and a quick learner of new applications
