The Event Services Coordinator is responsible for supporting the operation of the Event Services department and assists in delivering a world class guest experience for all events at Phoenix Suns Arena which exceeds guests' expectations.
What you will do:
• Deliver upon the organization's Mission, Core Values and Service Promise by creating strong personal interactions
• Schedule event staff, monitor requirements, verify payroll, document disciplinary actions
• Coordinate the assembly and delivery of guest WOW moments
• Coordinate with Event Services Managers to develop event-day documents including briefing, assignment and sign-in sheets, supervisor shift reports
• Assist with recruitment, hiring and administration of staff
• Maintain department uniform, office and operations supplies inventory
• Coordinates and maintains standard operating procedures for the department
• Coordinate arena Designated Driver program and YouthForce Intern Program
• Answer Event Services hotline during regular business hours and coordinate response with responsible personnel
• Assists the department with data collection – Designated Driver, event attendance, etc.
• Recommends and supports the implementation of initiatives to enhance customer service and the fan experience including the seasonal Employee Summits
• Maintain a professional working relationship with all stakeholders
• Notify supervisor and/or security of all unusual event-related issues and circumstances
• Maintains regular and reliable attendance
What we need from our Coordinator:
• Retain an extensive knowledge of the organization and Arena (or other facility as needed), event and Premium Club/Suites operations, seating sections, key venue personnel identity, policies and emergency activity procedures
• Ability to project a friendly, approachable and professional attitude and present a neat, well-groomed appearance at all times
• Effective interpersonal, verbal and written communication skills; ability to communicate at all levels, both internally and externally
• Able to simultaneously manage a high level of detail across multiple projects
• Understands how to manage information, balancing employee confidentiality with business needs; knows when to communicate information upward
• Able to demonstrate flexibility and quickly adapt to changes while maintaining high levels of productivity and effectiveness under pressure
• Ability to react appropriately in emergency and high stress situations and maintain order and ensure adherence to all safety and security policies
• Advanced Microsoft Office, Outlook, Word, Excel, PowerPoint, personnel management software (ABI) and other computer software skills required
• Must have a basic knowledge of technology, including operating and troubleshooting radios, tablets and handheld ticketing devices
Education
and experience:
• 4-year degree in Business, Hospitality, Communication, Sports Management or related field of study
• Minimum of 2 years' experience in a guest service role and/or supporting/supervising staff at a similar facility

• Working conditions are normal for an office environment, but also the ability to function in a high activity and heavily crowded indoor venue
• Able to work well within a team environment, offering assistance and support to team members whenever necessary
• Must have flexible schedule availability and the ability to work long hours, including late nights, evenings, weekends and holidays as needed
• Ability to work the entire event including pre and post-event activities as needed
• Walking, bending, carrying of light items.
• Ability to take on any role within the Event Services Team and switch roles as necessary depending on event requirements
• Ability to stand for long periods of time and may include walking long distances and
climbing stairs
• Ability to Read, Write & Speak in English.
