Phase One Network is seeking a Intern to provide operational and administrative support across our Business & Operations, Music Catalog & Rights Management, and Executive Office functions. This is a cross functional role designed for an undergraduate student pursuing a degree in music business, entertainment, business administration, or a related field. This is not a passive internship. You will be a daily operational contributor, managing executive schedules, coordinating internal and external meetings, supporting catalog administration, assisting with rights tracking, and helping keep our deals and projects moving. You will be exposed to the inner workings of a music IP company from the inside out.
• Responsibilities & Scope of Work -
The ideal candidate is exceptionally organized, has strong communication skills, takes initiative, and has a genuine understanding of or deep curiosity about the music industry and how music catalogs are managed and monetized.
Executive Support & Scheduling
• Manage and maintain calendars for executive level leadership, including scheduling internal meetings, external calls, and industry appointments.
• Coordinate and confirm meetings with artists, managers, attorneys, publishers, distributors, licensees, and other industry partners on behalf of executives.
• Prepare meeting agendas, briefing documents, and background research to prepare executives ahead of calls and meetings.
• Take and distribute meeting notes and action items; follow up on outstanding tasks as directed.
• Handle executive correspondence, draft emails and communications, and manage follow-up on behalf of leadership when appropriate.
• Coordinate travel arrangements, itineraries, and logistics for executive team members as needed.
• Always maintain discretion and confidentiality when handling sensitive business, financial, and deal-related information.
Business & Operations Support
• Assist in tracking and managing ongoing projects, deal timelines, and operational priorities across departments.
• Support day-to-day business operations including vendor coordination, service provider communication, and administrative logistics.
• Help prepare internal reports, presentations, and company documents for executive review.
• Assist in the onboarding and coordination of new business relationships and partnerships.
• Maintain and organize shared internal files, databases, and operational documentation.
• Research industry trends, competitive landscape, and market developments and prepare briefing summaries for leadership.
Music Catalog & Rights Management Support
• Assist the catalog team in organizing and maintaining rights management records, ownership documentation, and metadata for recording and publishing assets.
• Help track licensing activity, royalty participation structures, co-publishing arrangements, and deal terms across the catalog portfolio.
• Support the intake and processing of new catalog acquisitions, including document organization and chain-of-title file maintenance.
• Coordinate with PROs (ASCAP, BMI, SESAC), distributors, and publishing administrators as directed to resolve administrative matters.
• Assist in preparing catalog summaries, asset reports, and rights inventory documents for internal use and external presentations.
• Research songwriter credits, recording histories, and rights ownership for catalog assets as needed.
General Administrative & Office Coordination
• Serve as a central point of coordination across departments, helping ensure communication flows efficiently between teams.
• Assist with the planning and logistics of company events, listening sessions, partner meetings, and industry functions.
• Manage and track incoming requests, inquiries, and submissions directed to the executive office.
• Perform general administrative tasks as assigned, including document preparation, filing, and correspondence management.
- Qualifications -
Required
• Currently enrolled as an undergraduate student in music business, entertainment business, business administration, communications, or a related field.
• Exceptional organizational skills and the ability to manage multiple priorities simultaneously without losing attention to detail.
• Strong written and verbal communication skills; professional and polished in all interactions.
• Proactive and self-directed , able to anticipate needs and take initiative without being asked.
• Proficiency with productivity tools: Google Workspace (Calendar, Docs, Sheets, Gmail) and/or Microsoft Office Suite.
• Familiarity with project management or task tracking tools (Asana).
• Discretion and sound judgment when handling confidential executive and business information.
• Genuine interest in the music industry, whether through academic study, work experience, or personal passion.
Strongly Preferred
• Current coursework or concentration in music business, music industry, entertainment management, or artist management.
• Familiarity with how music catalogs, publishing, and recording rights work - including basic knowledge of royalties, licensing, and rights ownership.
• Prior internship or work experience in an office, entertainment, or music industry environment.
