A leading LA-area creative/advertising agency specializing in marketing for video games, technology and consumer products is seeking an Administrative Assistant to the President (who also serves as the Chief Creative Officer). We pride ourselves on being different in our approach to all aspects of client service and work on campaigns ranging from audio-visual to interactive to print materials. Our agency is fast-paced, innovative, and tenacious.
We have an immediate opportunity for a driven, motivated candidate with relevant or interest (or experience) in both advertising and/or business administration. This role is ideal for a recent college graduate with interest in advertising and entrepreneurship. The time will be spent assisting the President with any/all administrative, creative, and personal tasks that arise; this time will also be spent supporting staff throughout the office on a myriad of tasks.
Responsibilities
Prepare and edit correspondence, presentations, and other documents
Proactively follow up on and complete tasks and projects in a timely manner
Record notes and conversations, and organize the information for ease of reference
Conduct research, assemble, and analyze data
Manage and maintain schedules, appointments, and travel arrangements
Arrange and coordinate meetings and events
Receive and interact with incoming visitors
Interact with external clients
Provide general office support as needed
Maintain the utmost confidentiality and discretion
Ability to deal with finances discreetly and professionally
Interacting with Executive staff, Artists and Creative Directors (one-on-one)
Handle multiple business accounts
Manage projects of both a business and personal nature
Manage personal assets and property, including vehicles and house(s)
Other tasks and duties may be assigned as needed
Qualifications
Bachelors degree or equivalent experience in a relevant field is required
Required car insurance 25/50/20 minimum
An interest in advertising, and the entertainment industry
Excellent knowledge of Quicken and Excel, preferred but not mandatory
Must be a team player and work well in multiple group environments
Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
Knowledge of standard office administrative practices and procedures
Excellent organizational, planning, time management, and interpersonal skills
Great multitasking, and communication skills (visual, spoken, and written)
Highly proficient in gathering and monitoring information
Sound judgment and decision-making ability
Must be able to anticipates, take initiative, and be proactive
Strong work-ethic, and a drive to learn new skills
Ability to prioritize, multitask, and function well under pressure, tight deadlines, and heavy work load
Detail-oriented, and demonstrates accuracy and thoroughness
Must be exceedingly resourceful and flexible, and is an effective problem solver
Having the utmost discretion and confidentiality cannot be overstated

Periodical availability during off-hours, including weekends
