Seeking an assistant for our busy entertainment PR firm
Perception PR seeks an exceptional individual to join our team as an Administrative Assistant, Publicity + Awards.
We are looking for a highly motivated, dedicated and detailed-oriented person who excels at written and oral communication to assist a busy PR team that is working remotely. Job responsibilities include gathering and distributing breaks, database management, research, writing assignments, note taking, scheduling, managing RSVP lists, and more. You're the kind of person that can have a bunch of balls in the air at the same time and make it all look easy. An unflappable problem-solver with a keen work ethic, a great sense of humor and a self-starter are the qualities we're seeking in the ideal candidate. This is not a role where you can skate by, slide into the background or in any other way not be fully present and engaged. While this is a highly administrative position, the right candidate can forge a path in publicity and awards with this experience. This is a fast-paced job. Candidates must be based in Los Angeles or New York (NYC) and be prepared to work full-time, including some nights and weekends on occasion. We currently work remotely and our office hours are 9am - 6pm. If you are based on the east coast, you will work east coast hours. If you are based on the west coast, you will work west coast hours. There will be an in-person component to work by attending screenings, events, interviews and other client-related and industry events.

This position officially reports directly to the partners but will receive direction and input from other team members on both coasts.
Specific responsibilities include:
Gather and service breaks to clients
Database updates
Research and Writing assignments as directed
Press List building
Update key documents and calendars as directed
Monitor Team Email handle for timely or unanswered emails and call out to team
Assist in organizing and execution of PR events including junkets and press days
Assist in organizing and execution of screening events, including Q&A's and panels
Monitor client press interviews
Participate in brainstorming/planning meetings
Create and maintain various schedules, calendars and reports
Note taking during meetings
Assist in the coordination of mailings and e-blasts on behalf of clients
Check events inbox daily, replying where appropriate, and alerting team if anything requires their attention or input
Track and manage DCP requests and deliveries for screenings
Track and manage RSVPs for various events as directed
Requirements:
Must have strong writing, research and organizational skills
Self-starter, able to work independently as well as in teams
Understanding of basic PR and marketing concepts and practices
Strong ability to prioritize, solve problems and be resourceful
Able to handle fast-paced PR environment
Able to work well under pressure and take direction well
Able to balance strong attention to detail and urgency
Transportation to and from work events is the responsibility of the employee
Able to handle our clients' confidential information, issues and matters in a sensitive manner with the highest level of professionalism and loyalty (this job requires you to sign a non-disclosure agreement which applies not only to company matters but to clients' matters as well)
