Support the overall vision, mission and mandates for the company.
Responsibilities:
-Support the day to day operations of the CFO and Finance Department
-Maintain calendar of meetings for four executives: CFO, Controller, SVP of Film Finance, and SVP of Technology
-Schedule and prioritize internal and external meetings
-Coordinate domestic and international travel arrangements
-Monitor incoming/outgoing calls
-Prepare expense reports
-Prepare outgoing mail and correspondence including emails, faxes and couriers
-Organize and maintain confidential/critical documents
-Conduct business-related research
-Greet guests and ensure that their business requirements are met
-Coordinate and arrange meetings, including preparing agendas, reserving and preparing meeting facilities, ordering food and beverages, etc.
-Maintain office organization and files
-Manage petty cash box for the office
-Assist AP department with weekly check runs, vendor file maintenance, wire set-ups and log, and yearly 1099 vendor tax filings
-Support other department members as needed
-Circulate film distribution statements to the department
-Update and distribute company project log to finance team
-Serve as travel administrator for American Express Travel (Concur), including user account management
-Maintain relationships with hotel and airline contacts and renew annual corporate rate agreements
-Track and renew employee publication subscriptions
-Manage submissions and files for company employee donation matching program
-Other duties/special projects as assigned
Qualifications:
-Bachelor's degree in Business, Economics, or related major
-1-2 years experience covering executive's desk
-Detail oriented and very organized
-Self-starter, team player
-High proficiency in Microsoft Excel. Powerpoint, and Word
-Must possess excellent communication skills
