Executive Assistant (Senior Executive)

This role is responsible for managing the day-to-day executive assistant needs for the EVP, Controller & Chief Accounting Officer. As a key partner to this senior Executive, the ideal candidate for this role is one who is extremely organized and detail oriented, enjoys working in a fast-paced environment with great colleagues, and is a thoughtful and independent decision maker who anticipates the Executive’s needs and is focused on ensuring the EVP has a smooth and focused schedule. Acting as both a representative and extension of the office of the CAO, this candidate must be an excellent communicator, problem solver relationship builder, and all-around juggler when interacting with other senior executives and team members.
This role is hybrid role out of the NYC office.
Responsibilities
for this role include:
• Heavy scheduling and calendar management, including coordination of complex meetings with multiple participants and locations in a hybrid working environment, and close monitoring to resolve scheduling conflicts
• Provide effective and efficient meeting coordination, including attendee listings, logical sequencing, facilities, technology, agendas, materials, catering, notes, and action items
• Monitor and screen phone calls, serving as a liaison and gatekeeper to internal personnel and external partners to ensure timely and appropriate management of all inquiries
• Provide direct support for office needs and supplies, including liaising with IT, security and maintenance
• Prepare PowerPoint presentations and Excel workbooks as needed
• Recommend, build and maintain travel bookings and itineraries
• Process expense reports, departmental purchase orders and invoices
• Build and handle various Controllership Team channels of communication, including distribution lists and slack channels
• Collaborate with Controllership Team and other assistants to acquire information, problem solve, handle unexpected issues and achieve desired results
• Help drive overall goals of the Controller’s Organization and broader Finance function under CFO
Basic Requirements:
• 5 years supporting a senior leader, preferably in Finance
Additional Requirements
• College degree preferred
• Strong execution, organization, communication, and interpersonal skills
• Proficient in Microsoft Office suite and Zoom
• Great teammate who thrives in a fast-paced, deadline-oriented environment, and enthusiastically adapts to change
• Ability to handle confidential and sensitive information
