• Prepare and coordinate meeting logistics, such as attendees, setting cross-departmental sessions, agendas, and other key factors
• Handle executive's heavy calendar; ensure prompt attendance to all commitments while being able to forecast and manage conflicts.
• Screens and responds to incoming calls and correspondence
• Arranges travel plans, itineraries, and compiles documents for travel-related meetings
• Corresponds with outside vendors as directed to get materials sent/delivered in a timely manner, set up fibers, etc.
• Organize Print and AV Materials and help manage digital asset system.
• Maintain asset status reports and ensure creative advertising deadlines are met.
• Coordinate with finishing department, print production and marketing services.
• Process and track billing and file expense reports for executive and creative department
• Detailed tracking and logging distribution of materials (i.e. Filmmaker routing, internal routing)
• Performs administrative duties such as filing, typing, ordering supplies and copying documents
Basic Qualifications:
• Minimum 3-5 years related experience
• Tech Savvy & familiar with Apple systems (Mac/iPads)
• Must be very organized and detail oriented; have the ability to manage multiple high priorities and proactively anticipate/manage time efficiently
• Ability to multitask and deliver under tight deadlines with a calm manner
• Highly Proficient with MS software including Outlook, Word, Excel & PowerPoint
• Familiarity with Photoshop and video software a plus
• Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, senior management and filmmakers.
Additional Qualifications:
• Bachelor's Degree preferred
• Experience in the entertainment industry, ideally in marketing with a strong passion for creative advertising and movies.
• Should be familiar with a variety of industry concepts, practices, and procedures, especially in creative advertising
• Good relationship building skills
• Excellent organizational skills and attention to detail
• Ability to prioritize and meet deadlines
• Self-motivated
