OVERVIEW & RESPONSIBILITIES:
The CEO at Paramount Pictures is looking to bring on a second Executive Assistant to partner with the Senior Executive Assistant in managing day-to-day business affairs. The role will streamline office operations and communicate well with all departments. Our ideal candidate has a flexible and multitasking demeanor with excellent stress management skills in a fast-paced environment.
SPECIFIC RESPONSIBILITIES INCLUDE, BUT NOT LIMITED TO:
• Rolling calls and managing the CEO's calendars; scheduling / coordinating meetings and appointments
• Arrange meetings or conferences by arranging and prepping conference rooms, issuing meeting requests/invitations, and coordinating handouts
• Reconfirm all travel arrangements (car, flight, hotel) made if necessary
• Manage administrative tasks such as filing, typing, copying documents, fielding phone calls and visitors as well as handling deliveries throughout the day.
• Distribute incoming/outgoing mail and courier shipments; maintains/orders office supplies
• Builds and maintains database and spreadsheet files
• Purchase and maintain all office supplies, review inventories monthly, and maintain stock by placing orders on a regular basis
• Constant Rolodex/outlook contacts Maintenance (update as needed and always change the date in notes section when information is added/ deleted). Whenever a new important contact calls just add to CEO's contacts
• Assist in handling gift orders and distribution to internal and external partners per CEOs request
• Perform light research duties: research media coverage and industry trends
BASIC QUALIFICATIONS:
• 2 years experience supporting a C-level executive in entertainment studio, media and/or an agency
• Proficient computer application skills (Zoom, Slack, Microsoft Office, in PowerPoint, Excel, Google Doc and MS Word etc.)
ADDITIONAL QUALIFICATIONS:
• Bachelor's degree
• Excellent interpersonal skills; written and verbal communication
• Able to handle emergencies in a timely and effective manner
• Ability to handle confidential materials and issues in a professional manner
• Proficient knowledge of major players in entertainment
