Executive Assistant II
This Executive Assistant will provide administrative support for the SVP, Digital Marketing.
• Manages supervisor's calendar and schedules appointments
• Screens and responds to incoming calls and correspondence
• Processes all travel and departmental expenses
• Distributes mail and maintains office supplies
• Performs clerical duties such as copying documents
• Composes and prepares confidential correspondence, reports, and other documents
• Creates and maintains database and spreadsheet files
• Arranges travel plans and itineraries, compiles documents for travel-related meetings for both internal and external parties (e.g influencer events)
• SAP management
• Processes invoices by raising POs and giving PO numbers to vendors
• Manages budget updates with finance
• Sets up new vendors in Vendor Portal to process future payments.
• Contracts/SOWs
• Fill out Contract Request Forms with all necessary information and send to finance for approval.
• Send approved CRFs to legal for drafting of the SOWs. Work with legal to figure out proper language, delivery dates, etc.
• Works with sourcing for any multifilm/continuous services and/or services that are over 100K annually.
Basic Qualifications
• Bachelor's degree or equivalent work experience
• 2 years experience supporting an entertainment executive
• Proficient with Outlook, Excel, PowerPoint and internet software
Additional Qualifications
• Extremely professional, knows how to maintain confidentiality
• Understanding of working with executives
• Good oral and written communication skills
• Good organizational and project coordination skills
• Ability to handle multiple tasks simultaneously, prioritize workload efficiently and meet strict deadlines for complete tasks/assignments
• Good attention to detail and follow-through skills
• Demonstrated good judgment and the ability to deal with confidential and sensitive issues
• Able to work adeptly with general office equipment
• Foreign language skill, a plus
