The Executive Assistant will be responsible for assisting the SVP of Talent with the day-to-day operation of the department, via a full-range of administrative support.
• Provide administrative support to Senior Vice President; manage the day-to-day schedule and calendar, be one step ahead of the ever changing schedule of a busy executive, arrange travel, manage expenses, set executive and client meetings, answer all incoming telephone calls: screening, prioritizing and relaying messages to SVP and other team members
• Process vendor invoices, department expense, track payments and reports
• Talent gifting, research trends, preparing presentations, maintaining contacts
• Track and ship incoming and outgoing packages
• Order supplies for department
• Print any required documents for meetings and assist with all tech needs (i.e. video conference, presentations, and take notes when needed), troubleshoot all technical difficulties
• Liaise with outside agencies to book hair, make-up and stylists for talent appearances; confirm best rates negotiated and follow through to ensure negotiated rates are the final invoiced rates
• Provide overall support to department as necessary
• Book domestic and international travel arrangements for network talent, assist with talent logistics
• Maintain confidentiality of documents, plans and information while tracking important dates and timelines
• Oversee and/or execute special projects as requested
• On the ground support at events, shoots and appearances, including evenings and weekends
• An interest in celebrity and pop culture is a must and will be a great asset in contributing to the ever-evolving landscape of the media industry as we keep our networks fresh of new ideas and talent
Basic Qualifications
• Minimum of 2 years as an assistant to a senior-level executive, preferably in the entertainment industry
• Bachelor’s Degree from four-year college or university
• Experience in entertainment industry and interest in pop culture
• Must be willing to work some evenings and weekends for events
Additional Qualifications
• Self-motivated, self-starter
• Proficiency with HTML a plus
• Proficiency with PowerPoint, Photoshop, and Microsoft Office (Word, Excel, Outlook)
• Proficiency with SAP software a plus
• Highly organized with superior attention to accuracy and detail
• Professional and personable demeanor with an emphasis on composure, flexibility and discretion
• Strong interpersonal skills; Comfortable interacting with individuals at all levels of an organization, particularly senior levels
• Strong organizational and time management skills with the ability to anticipate, prioritize, and fulfill multiple tasks with attention to details and deadlines
• Ability to manage multiple tasks and activities simultaneously
• Strong oral and written communication skills
• Strong interpersonal skills
