SUMMARY DESCRIPTION
The Music Assistant will service two high-volume booking agents and their clients, while working alongside both agent teams. This individual is responsible for performing a variety of administrative tasks to provide support for both agents and clients while maintaining the utmost level of confidentiality.
ROLES AND RESPONSIBILITIES
Ability to prioritize and meet client needs while managing and maintaining business relationships with external and internal contacts.
Work with clients, managers, promoters, etc. to manage guest lists and logistics surrounding events.
Coordinate domestic and international travel on behalf of clients and agents
Manage client involvement with ad hoc commitments, appearances, and high-level events.
Roll calls, screen all incoming calls, and maintain call log.
Set and confirm agent and client meetings.
Full life cycle of ticket counts and booking administration.
Maintain client(s) business contacts, riders, bios, ad mats, and any specialized details for artist(s) show requirements. Provide to buyers as necessary.
Enter offers, including detailed show and company information from the promoter/buyer
Maintain and update expense reports, company databases, and client files.
Additional tasks and responsibilities as assigned.
QUALIFICATIONS AND REQUIREMENTS
Prior experience in an assistant role within the music industry required, agency/management experience preferred.
Possess a working knowledge of the music touring business and an understanding of key players involved, particularly as they pertain to both agents.
Ability to work in well in a collaborative and team-oriented environment.
Strong communication skills via phone, email and in-person.
Excellent organizational skills with an ability to think proactively and prioritize work.
Must have a high level of interpersonal skills to handle varied personalities and sensitive situations.
Position requires demonstrated poise, tact and confidentiality, as well as, excellent attention to detail, ability to prioritize and meet deadlines.
Computer literacy is a must.
