Position Summary:
The Administrative Assistant performs a range of administrative and clerical activities to support the company and its agents in internal matters. The role provides the Administrative Assistant a broad understanding of the news broadcast industry in general and the representation business in particular.
Duties and Responsibilities:
• Prepare and modify documents including correspondence, reports, drafts, memos, and emails
• Maintain call log and take detailed messages/notes
• Keep an accurate log of all incoming and outgoing submissions
• Generate submissions for potential buyers, per the direction of the agent
• Build client pages and websites per the direction of the agent, as well as order resumes, headshots, and client video samples
• Maintain and update company databases
• Process New Client paperwork
• Interact with Accounting department to track money due to clients
• Prepare Expense Reports and Travel Requisition forms, as well as coordinate travel arrangements
• Maintain current and accurate Outlook calendar
• Set and confirm meetings and conference calls
• Maintain office filing as needed
• Provide general administrative and clerical support
• Take on additional tasks and responsibilities as assigned
Qualifications and Requirements:
• Must have high level of interpersonal skills to handle varied personalities and sensitive situations
• Position requires demonstrated poise, tact and confidentiality
• Work requires excellent attention to detail, ability to prioritize and meet deadlines
• Computer literacy is a must
