Job Scope:
Provide executive administrative support to CEO on a daily basis and other executives as needed.
Key Responsibilities:
• Provide primary administrative support to CEO and other C-level executives as needed to include coordination of meetings and schedules
• Anticipate administrative needs and demands on the CEO, being proactive to insure calendaring, travel and meetings flow as seemlessly as possible.
• Drive projects as directed by CEO and/or executive team members
• Organize and coordinate travel for all Panavision US travelers
• Plan and coordinate large group meetings which includes vendor management, reserving meeting space, catering orders, travel/transportation)
• Serve as the administrative liaison for senior level customer interaction which includes fielding incoming calls from internal and external customers, greeting visitors, forwarding messages/correspondences, and interfacing with other Panavision departments and key individuals
• Prepare expense reports and other documentation when needed
• Track time-off and coordinate payroll timesheet approvals for executive team as needed
• Coordinate and schedule the use of conference rooms
• Maintain accurate and organized filing system
• Order and maintain office supplies
• Coordinate and complete department shipping and receiving
• Company Contact for California COVID reporting (through February 2025)
Skills/Experience Required:
• 5 years experience in an executive support role preferably in mid to large size companies with global operations.
• Experience booking travel for multiple executives via online platform, Concur experience preferred
• Demonstrated proficiency with Microsoft Windows applications including Outlook, Word, Excel, Powerpoint
• Proactive calendar management skills
• Effective communication skills (verbal and written) with internal and external customers
• Ability to troubleshoot and solve problems
• Ability to multitask and shift priorities where necessary
• Ability to work on own initiative without constant supervision
• Strong organizational skills and attention to detail
• Strong follow-through skills
• Effective time management skills
• Prior experience in media, entertainment or technology organizations preferred
• International experience a plus
• This position may be privy to confidential and sensitive information and as such, requires discretion

This job operates in a professional office environment. The employee may also be required to lift product or equipment weighing up to 50 lbs.
Position Type/Expected Hours of Work:
Prompt and regular attendance is required, employees are expected to begin work at the start of their scheduled shift and to complete their assigned work shift according to the responsibilities of their position.
This position works standard business hours but may require long hours and some weekend work.
Travel:
Some out-of-state/country and overnight travel may be expected.

Salary Range
: $68,000 - $78,000 / Per Year
