Production Operations Assistant (Freelance)
The Production Operations Assistant reports to the Senior Director, Remote Operations, and is responsible for maintaining a freelance database of 1300 freelancers. The Production Operations Assistant will coordinate with the Production Operations department to send, track and oversee the completion of all necessary paperwork items that each freelancer is required to complete.
This is a freelance position at 40 hours per week, The Pac-12 office is based in San Francisco but this position is open to working remotely in the states of California, Washington, Oregon, Arizona, Colorado, and Utah.
RESPONSIBILITIES:
• Track completion of paperwork from the moment a freelancer is hired until all paperwork has been completed. This will include start paperwork such as LOA’s (Letter of Agreement), I9’s, Network policies, and required training.
• Work as a liaison between Pac-12 Networks and the payroll provider, Entertainment Partners to make sure all start paperwork has been submitted properly and on time to ensure timely payment for all freelancers.
• Interface with Production Payroll to support paperwork questions around names, contact information, and rates.
• Maintain freelancer database with up-to-date contact information and status of each freelancer.
• Assist in building and maintaining ScheduALL profiles for new and existing freelancers.
• Cross-reference schedules to stay current with paperwork completion and follow up with those that have outstanding items.
• Communicate directly with freelancers and/or crewer to signal upcoming issues and options to support.
• Engage with Universities and local groups across the Pac-12 footprint to attract new candidates for Network events where needed.
• Work closely with Production Managers, Production Coordinator and Crew Schedulers to assist in event planning and crewing as needed.
• Support other departments with paperwork items as requested by the manager.
• Other duties as assigned.
REQUIREMENTS:
• Bachelor's Degree (in communications, television production or equivalent work experience is preferred).
• Excellent organizational and communication skills are essential.
• Must be self-disciplined and self-motivated, a team player, and have the flexibility to pivot when requirements change.
• Effective Interpersonal skills, good judgment, and the ability to interact with different levels of management and teams.
• Demonstrates ability to prioritize under time constraints and work successfully in a fast-paced environment.
• Experience working in a culturally diverse organization and supporting the values held by our unique employees, clients, sponsors, university faculty, and fans.
• Proficiency with Google apps (Gmail, Docs, etc.)
• Passionate about Pac-12 Sports.
