Overview and Responsibilities
The Executive Assistant, Music & Talent will be responsible for providing total administrative support and managing the day-to-day operations for the offices of the SVP and VP of Music including frequent contact with high level executives as well as artists, labels, management and a variety of partners.
Responsibilities
include but are not limited to:
• Maintaining calendars, which include a high volume of scheduling and preparation for meetings both internally and externally. Serve as a point person for all meeting requests, agencies and logistics including timely starts, video-conferencing tech needs, and managing documents as needed.
• Proactively advise executives regarding calls, appointments, meetings, and deadlines.
• Screen and prioritize incoming phone calls and mail. Roll calls as needed. Respond to inquiries and resolve issues requiring SVP and/or VP attention. Maintain a formal call log, contact list, and task list.
• Act as liaison between department assistants, staff, labels, artists, and other clients.
• Maintain department status report and industry calendars, as well as lists of upcoming events & activities.
• Assist in various duties for live events and show productions, which include managing show trackers, offer letters, client & internal ticket requests, talent photo requests and approvals for various lines of business.
• Prepare all travel arrangements including flight, hotel, ground and trip itineraries and schedules.
• Maintain an organized and complete filing system of department documents and records via Music Department shared drive and paper files as needed.
• Assist in preparing presentations and marketing plans, as necessary, using appropriate software applications.
• Assist with the coordination and set up of special projects, bookings, and events – as well as managing artists at these events.
• Process, submit and file T&E expenses & payment invoices.
• Handle routine copying, scanning, mailing, and distribution of packages.
• Arrange department office supply and equipment ordering. Provide daily operational management and contact with Facilities, IT Help Desk, A/V and Telecom.
• Keep up-to-date on artists, songs, platforms and music trends; build network as well as industry contacts.
Basic Qualifications
• Bachelor’s Degree or equivalent work experience.
• 2 years' experience
• Strong proficiency with Outlook, Word, Excel, PowerPoint and internet software.
• Active self-starter with ability to anticipate needs and take initiative is imperative.
• Excellent oral, written, verbal, interpersonal and judgement skills with the ability to interface with staff, other administrators, internal and external contacts and talent representation, and senior management within the company.
• Organization and detail oriented mindset with the ability to manage multiple high priorities, with the ability to adhere to specific details while maintaining a ‘big picture’ orientation.
• Ability to coordinate multiple tasks, appropriately prioritize work and proactively manage time in order to remain focused and flexible in a fluid, fast-paced environment.
• Familiar with a variety of entertainment industry concepts, practices and procedures.
• Knowledge of all modern music distribution platforms.
