Overview and Responsibilities
The Department Assistant is responsible for providing comprehensive administrative support and managing the day-to-day operations for 3 Nickelodeon executives (1 Senior Vice President & 2 Vice Presidents). This position has frequent contact with all facets of Nickelodeon International groups as well as Viacom overall. The Assistant will interface regularly with direct reports, and other senior executive’s assistants. Additionally, the Department Assistant will own specific projects as given.
Responsibilities:
• Organizing and coordinating domestic & International travel itineraries
• Processing expense reports and invoices
• Maintaining Outlook calendars
• Prioritizing overlapping meetings, events, and conflicts to keep department heads moving forward
• Arranging meetings for external clients and internal executives (overseeing AV, catering, printouts, etc., as needed)
• Organizing any tech or office/core services support needed
• Assisting with internal communications (maintain department listserv, printing/distribution of agendas & status reports, presentations, meeting notes, etc.)
• Organizing and planning team off-sites, events, etc
• Prepare executives for quarterly content markets (MIP.COM, MIP.TV, NATPE, KIDSCREEN) including assisting with scheduling and document preparation.
• Maintaining and organizing files
• Working with department leads direct reports to assist with department organization (handle weekly staff meetings, etc.)
• Coordinate with Legal & Finance teams to manage payment of vendors via Market
• Write forward facing digital copy & metadata for various content types with an eye on strong SEO value
• Organize acquisition materials for review by senior staff
• Special Projects as assigned
Basic Qualifications
• Bachelor’s Degree
• 1-2 years of experience in a high level corporate environment (strong internship experience considered)
Additional Qualifications
• Strong computer skills (Microsoft Word, Excel, Power Point)
• Strong copy-writing skills & SEO knowledge important
• Ideal candidate will have experience writing for a brand or IP
• Highly organized with a strong attention to detail
• Must be flexible, adaptable & have creative tendencies
• Strong interpersonal skills to project image of the Senior Level Executives
• Superior verbal and written communications skills
• Energetic, self-starting, problem-solver, positive
• Ability to work in a high pressure, fast moving environment
• Ability to maintain confidentiality regarding sensitive issues or information
• Ability to prioritize, multi-task & work well under pressure
• Ability to successfully interact with individuals at all levels of an organization

• Ability to speak a second language a plus
